Administrative Assistant

We are offering a contract to permanent employment opportunity for an Administrative Assistant in Mission Viejo, California. This role is within the solar industry and will primarily involve supporting the Legal and Finance teams, with a particular emphasis on contracts management.
Responsibilities:
- Efficiently manage contracts, including tracking, organization, and ensuring timely execution
- Keep precise records of legal and financial documents in accordance with company policies
- Undertake administrative tasks such as scheduling, data entry, and document preparation to support the Legal and Finance teams
- Liaise with internal and external stakeholders in relation to contract status, approvals, and necessary follow-ups
- Aid in the coordination of audits, reports, and compliance-related documentation
- Oversee databases, spreadsheets, and electronic filing systems for efficient document retrieval
- Handle general administrative support, including email correspondence, meeting coordination, and office organization
- Cooperate cross-functionally to assist in special projects and process improvement
- Proficiency in answering inbound calls, demonstrating excellent customer service skills
- Experience and accuracy in data entry tasks
- Ability to handle email correspondence professionally and efficiently
- Experience with both inbound and outbound calls, demonstrating strong communication skills
- Proficiency in using Microsoft Excel for data management and analysis
- Familiarity with Microsoft Outlook for scheduling, email management, and task organization
- Knowledge of Microsoft PowerPoint for creating and editing presentations
- Proficiency in Microsoft Word for document creation and editing
- Ability to schedule appointments, coordinating multiple calendars if necessary
