Overview:

The Berger Foundation Iceplex is looking for a highly organized and detail oriented Administrative Coordinator to keep our office running smoothly and efficiently. This is a great opportunity to assist our team with utilization of the facility software system to include programming updates, customer admissions, reporting, event coordination, and memberships.

Provide general administrative support to the BFI Vice President. We are a close-knit office with a great culture, which means there’s lots of room for growth, learning and collaboration with the management team.

This Full Time role will pay an hourly wage range of $24 - $26 per hour.

Responsibilities:

  • Managing day-to-day administrative operations and performing various office support related tasks
  • Utilization of the Facility software system to include programming updates, customer admissions, reporting, event coordination, and memberships.
  • Data entry of day-to-day/ yearly programs and activities along with ice rental tenant groups.
  • Implement online registration/ POS operation system for ice rink programs and events
  • Ensure systems and processes are in place that are efficient and accurate for staff to process customers into programs and assist with program registration questions and processes.
  • Support program & guest experience managers for communication and announcement flyer templates and registration processes
  • Edit documents and monthly staff newsletter
  • Adjust overall annual ice-use calendars per management direction of programs and season.
  • Update website content creative and programing.
  • Develop and produce power point presentations, excel spreadsheets, and generate reports as requested as an administrative support resource for the VP/ GM of Iceplex.
  • Charter school/vendor booking communication
  • Cross communication between BFI, CVF, and Arena departments for events
  • Assisting with technical issues and contacting appropriate vendors as necessary
  • Ensuring all areas of the office are neat and stocked (cabinet, pantry, office)
  • Representative of BFI at fairs, schools, and events to promote programs as scheduled.
  • Position is accountable to the Vice President/General Manager

Qualifications:

Experience & Qualifications
  • Previous experience at a sport facility
  • Understanding of league or facility software schedule management
  • Must be adaptable with the ability to work under pressure to meet deadlines
  • A fierce communicator and cross-organizational collaborator, with an expert ability to present and communicate new ideas and concepts
  • Extremely organized and detail oriented, resourceful, quick learner and able to handle multiple projects simultaneously
  • A high degree of personal integrity and consistently put the interests of the organization first
  • Strong verbal and written communication skills, with an expert ability to present and communicate new ideas and concepts.
  • Strong computer skills including Word, Excel, PowerPoint and applicable standard applications.
  • Bachelor’s degree from a four- year college or university in business or related field, or equivalent combination of education and industry experience.

Working Conditions:

  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays required.
  • Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements and sounds, extensive walking through the building including inclines and stairs.
