Enrollment Support Specialist

REPORTS TO: LEAD ENROLLMENT SUPPORT SPECIALIST/DIRECTOR
GENERAL PURPOSE OF THE JOB:
The Part-Time Enrollment Support Specialist (PT-ESS) is responsible for providing enrollment services for prospective students in the Accelerated Sciences Department (AS) by fielding inquiries, providing critical information to students through the registration process, and supporting them to accomplish enrollment plans that satisfy prerequisites for further studies in the health sciences.The PT-ESS will assist with ensuring individual students successfully enroll in any other Accelerated Sciences that fit the student’s needs and will provide some ongoing support through the entire student experience.
Southern California University of Health Sciences (SCUHS) offers intensive science courses both online and on-campus that can be completed in five weeks. The PT-ESS is responsible for representing Accelerated Sciences and SCUHS in a positive and professional manner while recruiting students to enroll in our courses in accordance with academic and institutional policies and consistent with the highest of ethical standards.
This position requires excellent verbal and written communications, solid time and resource management skills, and strong interpersonal skills. Individuals must be able to solve problems independently and collaborate effectively with students to meet their course objectives.Ideal candidates will have prior experience in recruitment, student services, outreach, customer service, and/or sales, and have a passion for helping others achieve their educational goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following. Other duties may be assigned.- Serve as a primary point-of-contact for prospective students to provide information about Accelerated Science courses, schedules, and requirements for enrollment after regular business hours for the department. Regular business hours are Monday through Friday from 8am to 5pm.
- Receive inbound calls from prospective students and provide required information to assist with enrollment.
- Make outbound calls to prospective students using a dialing software; send text messages to prospective and current students as needed.
- Accurately explain to prospective students expected course outcomes, resources and services available, and registration and tuition information.
- Assist students in registering for classes, working with the Registrar’s office as needed.
- Follow up with students each shift to ensure successful enrollment in future classes.
- Maintain communication with newly registered students to ensure they have access to course materials and are prepared for their first day of class via text, phone and/or email.
- Manage call notes in the prospective student database in Salesforce and update internal departmental documents as needed during and after each shift.
- Communicate daily/weekly with the Lead Enrollment Support Specialist and other staff as needed to ensure continuity of tasks.
- Collaborate with other university departments (including but not limited to Student Services, Registrar, Student Accounts) across campus to ensure Accelerated Sciences students are supported.
- Support the SCU team-oriented work environment by maintaining a pleasant and professional attitude and appearance.
- Follow best practices and comply with all SCU policies and procedures.
- Uphold the highest levels of professionalism, with high ethical conduct expected at all times.
- Perform any other SCU other duties as required and assigned.
ATTENDANCE
The after-hours Part-Time Enrollment Support Specialist will work the following hours remotely:
- Sunday - Thursday – 5pm to 8pm PT
Since this is a temporary position with the possibility to become permanent, some flexibility may be available for this schedule as we work to fine-tune the best times for support coverage for AS students.
Must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.

SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
EDUCATION AND/OR EXPERIENCE:
- Bachelor’s degree preferred.
- 2-3 years of admissions advising, sales or customer-service related experience strongly preferred.
- Admissions funnel management experience preferred (Inquiry to Start).
- Ability to work with multiple databases.
- Advising adult and non-traditional learners and/or graduate programs.
- Phone skills and objection handling experience a plus.
COMPUTER & SOFTWARE SKILLS:
- Proficiency with Microsoft Office Suite, Google Sheets.
- CRM/Enrollment management software working knowledge, preferably with Salesforce and/or Five9 systems a plus.
