A client of ours that specializes in Retail Properties is looking to hire a Tenant Coordinator in Dallas, Texas. The tenant coordinator assists the Property Manager, Senior Property Manager and Property Management Team with clerical support and day to day tenant administration for the property management department while enhancing positive tenant relations.
- Receives and initiates phone interaction with tenants, vendors and in-house personnel concerning property issues
- Research property/tenant issues thoroughly, report issues to Property Manager
- Handles emergencies in Property Managers’ absence
- Prepare vendor set ups, gathering COI and W-9
- Updates and tracks tenant and vendor insurance certificates
- Prepare purchase orders and tracking payments.
- Maintain tracking programs and reports on JDE and on Excel (Sales Reports, security and fire alarms, etc.)
- Assist with coordination of Tenant move-in and move-out activities, repair follow-up and file maintenance
- Type correspondence, photocopy, transmit items via facsimile, prepare envelopes, overnights packages, etc.
- Complete special projects as needed
- Assemble and maintain uniform files for tenants and vendors
- Receive and process mail
- Update and track tenant contacts
- Track and issue work orders as needed
- Assisting with mail merge of letters, as needed for tenant communication
