We are seeking an Administrative Assistant to join our team in the Construction/Contractor industry, based in ROCHESTER, New York. In this role, you will provide essential support services to an executive group or department, with a focus on report generation, meeting coordination, and special projects.
Responsibilities:
- Provide detailed administrative support to an executive team or department
- Lead the generation of reports in an accurate and timely manner
- Oversee the ordering and stocking of necessary office supplies
- Coordinate meetings, ensuring all relevant parties are informed and prepared
- Produce detail oriented correspondence as required, maintaining a high standard of accuracy and efficiency
- Undertake any special projects as directed, demonstrating flexibility and problem-solving skills
- Monitor and update customer credit records with precision
- Process customer credit applications, ensuring accuracy and efficiency in all tasks
- Take appropriate action on customer accounts as necessary. • Demonstrated experience in the Construction/Contractor industry in an Administrative Assistant role or similar.
- Comprehensive knowledge and hands-on experience with Administrative Office skills.
- Capability to organize, multitask, prioritize and work under pressure.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
- Familiarity with office management procedures and basic accounting principles.
- High school diploma; additional qualifications as an Administrator or Secretary will be a plus.
- Excellent time management skills and ability to meet deadlines.
- Strong problem-solving skills and meticulous attention to detail.
- Ability to work independently and as part of a team.
- Excellent customer service skills and detail-oriented demeanor.
- Knowledge of construction industry regulations and safety standards is a plus.
