Executive Administrative Assistant Advanced (>6 years)

Required Years of Experience: 6+ years of executive administrative assistant experience, preferably in finance/banking industry.

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid or Remote options.
Job responsibilities:
- Responsible for administrative support to a department or individual.
- Duties include typing filing answering phones scheduling financial record keeping coordinating meetings and conferences obtaining supplies and sorting/distributing mail.
- May work on special projects. Must be able to multi-task and prioritize.
- Strong communication skills and organizational skills are required.
- Familiarity with MS Office required.
- Process high volume of T& E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines
- Support team members with calendar management as requested
- Screen incoming calls and determine the level of priority, while using caution in dispensing information
- Manage the coordination and logistics of both internal and external meetings
- Organize all aspects of internal and external events, including catering and transportation
- Produce high quality emails and messages to individuals at all levels of the organization
- Maintain department documents
- Handle regular activities without prompting, and advise in advance with issues or delays
- Assist in editing spreadsheets and presentations, including printing and binding, for client meetings
Required Qualifications:
- Proficiency with Concur, MS Office 365 and Google Suite
- At least 6 years of executive administrative experience
- Tact and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Excellent telephone etiquette and ability to manage competing priorities
- High degree of motivation, initiative, sense of urgency and professional demeanor
- Ownership approach to all tasks; initiative and confidence to complete projects with limited supervision
- Ability to multi-task, prioritize and organize
- Strong attention to detail and focus on accuracy
- Motivated by a collaborative environment and willing to go the extra mile
- Strong PC skills (proficient knowledge of Concur, MS Outlook, Word, Excel, and PowerPoint)
- Effective interpersonal skills
