Purpose:

The Case Management Pilot Program (CMPP) is a federally-funded program that provides case management and associated services to asylum seekers and other noncitizens. The goal of CMPP is to ensure that individuals seeking asylum or other immigration relief have access to voluntary, trauma-informed case management and social services.

CMPP is overseen by a National Board, which provides funding to nonprofit organizations and local governments to deliver CMPP services in their communities. CWS is the Fiscal Agent of the National Board and is responsible for managing awards to the CMPP service providers (subgrantees).

The CMPP Monitoring and Evaluation Program Assistant is responsible for supporting the CWS M&E framework as part of the CMPP team. The M&E Program Assistant works closely with the program officer and program manager to support programmatic reporting and grants compliance by subgrantees.
This position is responsible for data tracking, aggregation, and, in coordination with the program officer, manages the program database. The position is also responsible for managing the program mailboxes and is the primary individual responsible for managing the program materials and files.
The Monitoring and Evaluation Program Assistant reports to the Senior Program Manager for CMPP. This position supports the CMPP team with organizing the monitoring schedule, reviewing written reports, compiling monitoring related data and assisting supervisor with analyzing available M&E data.

An important prerequisite for this position is the ability to work collaboratively as part of a team in a collegial manner and to work independently to carry assignments through to completion.

Responsibilities:

  • Stay current with self-education on issues affecting asylum seekers and newcomers in the U.S., as well as staying updated on policies that may impact these populations.
  • Support the CMPP Program Officer with maintaining and improving the CMPP internal tracking system for monitoring in collaboration with supervisor and colleagues.
  • Monitor the CMPP mailboxes, respond to inquiries, and reroute emails to the appropriate staff for a timely response.
  • Support maintenance and adjustment of efficient and effective monitoring tools and protocols to assess compliance with agreements and contracts, promote best practices that exceed program requirements, identify trends and report on program progress.
  • Assist supervisor and the Director of Asylum and Legal Services to define, implement, monitor, and analyze key performance indicators across CMPP providers.
  • Support data management and assist on identifying and reporting on monitoring and program trends to inform training and programmatic activities.

Qualifications:

Experience:

  • At least 3 years of professional experience related to refugees and migration, and/or experience working in non-profit organizations with underserved communities, migrants, or asylum seekers strongly preferred.
  • Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail in a fast-paced environment.
  • Excellent organizational and time management skills and ability to manage a large and diverse workload under pressure and with competing priorities;
  • Knowledge/experience with data collection and data management preferred;
  • Excellent project and data management skills;
  • Strong written and verbal communication skills, including the ability to interact professionally with colleagues, partner organizations, and other external parties.
  • Experience in general office work, processing information and materials and maintaining records and

  • Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with partners and teams;
  • Ability to conduct oneself in a professional and courteous manner at all times to represent the professional and institutional interests of CWS;
  • Experience with office software such as Microsoft Office (Teams, Word, Excel, PowerPoint), email management, and scheduling/calendar tools is essential;

Education & Certifications:

  • Bachelor’s degree or equivalent education and work
  • Specialized training in monitoring and evaluation a plus.

This position is a remote role with some in-person responsibilities related to meetings or onsite technical assistance visits. Remote employees must be able to fulfil the following conditions:

  • Regular work hours must span core business hours 9AM - 5PM Eastern time
