The ASUS Robotics & AI Center is seeking a proactive and detail-oriented individual to join our team as a Part-Time Event Support staff member. The ideal candidate will play a critical role in the seamless preparation and execution of our upcoming event at the University of Virginia (UVA).

This position is perfect for someone familiar with event support at UVA and passionate about event planning, marketing, and community engagement. The successful candidate will ensure all logistics are managed efficiently and effectively, contributing to the overall success of the event.

This position also offers potential for growth and could lead to full-time employment opportunities based on performance and the evolving needs of our team. We are looking for individuals eager to contribute and grow within a dynamic environment.

Key Responsibilities

Before the Event Day:

  • Design and create marketing materials such as flyers, banners, and social media posts.
  • Ensure high event participation by actively promoting the event at UVA and within student communities.
  • Assist in creating event plans, including timelines, checklists, and task assignments.
  • Coordinate with the ASUS marketing team to ensure consistency in branding and messaging.
  • Secure necessary permits and approvals from UVA and local authorities, if needed.
  • Assist in arranging logistics for the event.

During the Event Day:

  • Assist with event setup, including arranging materials, equipment, and the venue layout.
  • Manage event registration, check-in, and attendee inquiries.
  • Coordinate with the ASUS team, UVA staff, external vendors, and participants to ensure smooth event operations.
  • Provide on-site support and help resolve any issues that arise.

After the Event Day:

  • Assist in post-event activities, including feedback collection and reporting.
  • Help with the breakdown and cleanup of the event venue.
  • Coordinate and monitor the return of rented equipment and materials.
  • Assist in creating a post-event thank-you campaign, including sending thank-you notes to speakers, sponsors, and key participants.
  • Archive event materials and documentation for future reference and planning.
Requirements
  • Proven experience in coordinating and executing small- to large-scale events at UVA.
  • Bachelor’s, Master’s, or Ph.D. candidate in a related field.
  • Exceptional ability to design marketing materials using tools such as Adobe Photoshop, Illustrator, Canva, etc.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Expertise in creating and managing social media content (Facebook, Instagram, LinkedIn).
  • Familiarity with UVA’s student communities.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Flexibility to work evenings and weekends as needed.
