Job Summary:

The Getty Conservation Institute (GC) is looking for a Head of Institutional Operations and Administration with comprehensive managerial and leadership experience to ensure smooth institutional operations in support of the work of the GCI, which includes approximately 100 staff.

Reporting to the Associate Director and working in close partnership with the GCI leadership team, the Head of Institutional Operations and Administration is a new role which will direct overall operations of the GCI. The position will be primarily responsible for: assessing and improving the quality and efficiency of institutional operations; implementing and improving organizational procedures; assessing risk involved with the GCI’s international work; directing institutional staffing; developing, analyzing, planning, tracking, reporting, and controlling the GCI’s annual operating budget of $17M.

This job will be based in the GCI’s offices at the Getty Center in Los Angeles. It will begin in the office full-time and the opportunity to request a hybrid work schedule may be available after an initial period of training and orientation and will be discussed and approved by the Associate Director.

Typically, staff with approved hybrid work schedules at the GCI are in the office more than half of the time.

The Getty Conservation Institute is dedicated to finding ways to improve the conservation of the world’s cultural heritage—its art objects, museum collections, historic buildings, and archaeological sites. We are located at the Getty Center in Los Angeles, and our work often takes our staff to heritage sites across the globe including locations in South America, Asia, and the Middle East, where we work in partnership with heritage professionals from the region.

Our staff come from diverse disciplines including architecture, archaeology, conservation, information science, chemistry, engineering, operations management, administration, and communications.

Major Job Responsibilities:

  • The work of the Head of Institutional Operations and Administration impacts all departments of the GCI and influences the development of overall objectives and long-range goals for the institute. Working with the GCI leadership team, you will identify and solve a wide range of complex problems related to travel, expenses, contracting, and payments, as they impact our international project work. In partnership with Getty’s human resources and finance teams, you will use your expertise and comprehensive grasp of human resources management, operational management, and financial analysis to determine the optimal manner in which to achieve institutional priorities and initiatives.
  • Apply your expertise to identify recommendations and deploy programs to establish and improve financial and operating procedures that facilitate our international work, while also complying with Getty policies and best business practices.
  • Assess medical, health, safety, and reputational risks involved with the GCI’s international work and advise the GCI leadership team on potential issues and risks in locations where our work takes place.
  • Mentor, coach, counsel, train, and contribute to performance evaluation for direct reports and staff throughout the GCI.
  • Determine the most advantageous methods to drive strategic priorities and implement decisions, working with the GCI leadership team.
  • Lead the GCI’s Administration team, along with two direct reports, with responsibility for the management, direction, vision, long-range planning, and operations of the department.
  • Provide leadership as a representative of the GCI on steering committees that inform Getty-wide policy and decisions and define priorities that have a broad impact on the whole organization.
  • Develop professional relationships with and regularly liaise with colleagues from other Getty departments and programs, including Procurement and Contract Services, Accounting, Digital, Security, Facilities, Finance, and Risk Management, to quickly address operational issues.
  • Effectively communicates with staff at all levels, as well as international partners and key stakeholders.
  • Control the GCI’s operating and reserve funding budgets. Direct the development of budgets and coordinate resources to achieve long-range goals for the GCI involving complex international research, education, and field projects.
  • Be responsible for financial analysis and budget reporting that is presented to Getty Trustees.
  • Apply comprehensive expertise in budget management and control to oversee fiscal year end planning in alignment with Getty’s expected timelines.
  • As needed, lead wide-ranging projects, which may include process improvement, technology, exhibitions, capital projects, and long-range strategic planning.

Qualifications:

  • Bachelor’s degree
  • Additional education or related certification (e.g. CPA) a plus
  • 10–15 years of experience in complex, operational management including recruiting, budget management, project risk assessment and management, and policy development. As this position will be required to plan for and address international operational challenges, experience operating with international responsibilities is necessary.
  • 10–15 years of supervisory and leadership experience with multi-disciplinary teams
  • Advanced knowledge of accounting and budgeting practices.

  • Demonstrated ability to follow through and drive work to completion.
  • Advanced computer skills and demonstrated proficiency with Excel, general office software, and financial reporting systems applications.
  • Proficiency with PeopleSoft Financials is a benefit.
