Overview:

The Contracts Clerk is responsible for ensuring timely review of new/used vehicle sales contracts for the dealership to ensure proper completion and accuracy and ensuring all invoices are paid accurately and timely. The Contracts Clerk has a Pay Scale of a Base Hourly Wage of $21.00-$24.00.

  • This position is 100% on site at Longo Toyota in El Monte, CA.

Responsibilities:

Contracts Management
  • Receives and processes new/used contracts from the Finance/Fleet department
  • Reviews sales documents, such as sales contract, service contracts, GAP and guest credit applications to ensure proper completion and accuracy
  • Posts retail and lease finance contracts to appropriate accounting schedules
  • Reconciles and balances designated accounts and reports any discrepancies
  • Monitors all vehicle purchase documents for compliance with all applicable federal, state, and local taxes and fees
  • Prepares documents for submission to financial institutions according to requirements of applicable lender
  • Processes trade-ins, payoff trade and equity for vehicles via check
  • Send paper contracts to off-banks
  • Review LBO payoffs documents for payment via ACH
  • Process J Fleet units
  • Match DMV documents for used cars to incoming deals
  • Audit Goback deals from prior month to ensure posting in current month
  • Maintains high ethical standards in all actions.
  • Maintains a professional appearance at all times
Business Office Support
  • Maintains an adequate supply of checks and balances on the check writing and authorization procedure ensuring complete accountability and audit trail.
  • Complies with federal, state, and company policies, procedures, and regulations.
  • Performs general office duties such as filing, answering telephones, and handling routine correspondence.
  • Assists the business office and performs other administrative duties, as needed
  • Maintains high ethical standards in all actions.
  • Maintains assigned workspace in an organized and clean manner
  • Maintains a professional appearance at all times.

Qualifications:

  • A high school diploma or equivalent
  • A minimum of two (2) years administrative experience, desired
  • Knowledge of basic mathematical concepts (adding, subtracting, multiplying, dividing, and percentages) and their application; Microsoft Office (Word, Excel, PowerPoint) proficiency desired
  • Knowledge of basic dealership policies and lending institution procedures; administrative and clerical procedures and systems such as word processing, managing files and records; and mathematical principles (adding, subtracting, dividing, multiplying, and percentages) and application; Microsoft Office (Word, Excel, PowerPoint) proficiency desired
  • Ability to compile, code, categorize, calculate, tabulate, audit, or verify information or data; pays attention to detail; follow-up with guests and employees; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, Internet and in person; and use standard office equipment
Physical Demands
  • Sit or stand for long periods at a time.
  • Use hands and fingers in repetitive motion, daily.
  • Frequently bend, stretch, twist, or reach with their body, arms, and/or legs; stoop, kneel, crouch, or crawl and talk or hear.
