Administrative Assistant/ Receptionist

The Administrative Assistant works as part of a team providing general administrative support to legal teams in preparation of immigration case work and filings. The incumbent will be primarily responsible for various steps ensuring the case file is accurate, complete and meets filing deadlines.

Strong attention to detail and organization is required.

PRIMARY RESPONSIBILITIES:

  • Provide general administrative support to legal teams.
  • Send faxes and scan documents.
  • Perform general file up-keep including physical filing of paperwork and uploading documents to the internal systems.
  • Retrieve and return files, as applicable.
  • Assist with projects as related to the practice.
  • May create electronic and/or physical files for new cases.
  • Prepare shipping labels and letters and collate packets for employer/client copies.
  • Utilize and update in-house database.
  • Prepare reports and perform audits to ensure data quality.

SECONDARY RESPONSIBILITIES:

  • May back-up Facilities/Front desk with preparation or receipt of file shipments (FedEx, UPS), inventory and office supplies.
  • Other duties as assigned.

Skills and Abilities:

  • General office clerical skills (e.g. phones, typing, filing, etc.).
  • Proficient in Microsoft Office Suite.
  • Ability to handle multiple assignments and maintain accuracy and quality standards.
  • Ability to handle heavy workloads and high-volumes of case management.

Experience:

  • Entry-level position.
  • 0-1+ years’ work experience in a fast-paced office environment, a plus.

Minimum Education Level:

  • High School Diploma, or equivalent.
  • Associate’s degree, a plus.
