Construction Administrator
We are seeking a highly organized and detail-oriented Construction Administrator to support construction project operations and ensure seamless coordination between teams, clients, and subcontractors. The ideal candidate will possess strong administrative skills, excellent communication abilities, and experience in construction project administration.
Key Responsibilities- Perform all essential duties of a Project Assistant/Coordinator.
- Coordinate and/or supervise clerical/administrative staff as needed.
- Answer and screen phone calls, directing inquiries appropriately.
- Compose, edit, and manage correspondence, reports, memos, and procedures.
- Act as a liaison between project managers, supervisors, subcontractors, and clients, arranging meetings and maintaining communication.
- Attend and document project meetings, including preparing meeting minutes.
- Establish and maintain project filing systems, ensuring proper documentation organization.
- Distribute project documents to subcontractors and maintain document logs.
- Update drawings, post changes, and ensure version control.
- Prepare and maintain Request for Information (RFI) logs in the CMiC system.
- Manage the transmission and distribution of submittals, ensuring timely processing.
- Maintain logs for submittals, expediting, and progress tracking.
- Perform expediting functions to ensure project materials and tasks are on schedule.
- Input labor quantities in cost reports on CMiC and verify cost codes on timesheets.
- Prepare and document extra work orders and track reference logs.
- Review and compile change order submittals and quantity surveys.
- Maintain a progress photo album and ensure project documentation accuracy.
- Assist in compiling billings, lien releases, and certified payrolls as required.
- Compile contract close-out documents, as-builts, and document punch-list work.
- Prepare required owner’s forms for reporting purposes.
- Coordinate paperwork flow between the field and the division office.
- Perform additional responsibilities as assigned.
Bachelor’s degree in business, construction management, or a related technical field (or equivalent combination of education and experience).
Minimum 3 years of experience in construction project administration.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and construction management software (e.g., CMiC).
Ability to type 65-75 words per minute accurately.
Strong knowledge of office procedures and administrative best practices.
Excellent verbal and written communication skills, including professional business writing.
Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
Highly reliable, adaptable, and detail-oriented.
