Our client, located in West Los Angeles is looking for an Executive Assistant to support the VP of Donor Relations. The Executive Assistant provides high-level administrative support and will handle a wide range of organizational and administrative tasks.
In addition to supporting the executive, the Executive Assistant collaborates with team members to coordinate departmental operations, onboard new staff, disseminate important updates, and provide logistical support for key projects and events.

You will have every other Friday off in this position.

Major Job Responsibilities:

  • Administer the operations of the executive's office, including supervising staff, managing information systems, and troubleshooting complex problems.
  • Analyze workflows and prepare reports with actionable recommendations for improvement.
  • Prepare the executive for meetings by gathering, organizing, and presenting relevant information.
  • Oversee and manage high-priority projects, ensuring deadlines are met and deliverables align with objectives.
  • Draft, review, and edit written communications, reports, and presentations on behalf of the executive.
  • Support the planning and execution of internal and external events, meetings, and visits for stakeholders, including clients, donors, or strategic partners.
  • Collaborate on departmental initiatives, track progress, and provide status updates to relevant stakeholders.
  • Assist in the development of materials for organizational meetings, such as board presentations or team updates.
  • Arrange travel logistics—local, domestic, and international—for the executive while maintaining adherence to organizational policies.
  • Schedule priorities and ensure the executive's time is used effectively by balancing competing demands.
  • Manage sensitive and confidential information with a high degree of discretion and professionalism.
  • Use software tools and databases (training provided as needed) to track and maintain critical information tied to departmental goals.
  • Process and submit expense reports in compliance with company policies.
  • Perform additional duties and responsibilities as assigned.

Qualifications:

  • Bachelor’s degree or equivalent professional experience.
  • 5–7 years of related experience in an administrative, operational, or similar role, ideally within a professional or non-profit organization.

  • Advanced expertise with office software and communication tools, as well as the ability to learn new systems.
  • Strong organizational and project management capabilities with a focus on meeting deadlines.
  • Highly adaptable and capable of prioritizing work independently or delegating tasks as needed.
