We are seeking a detail-oriented, organized, and proactive Administrative Assistant to support the daily operations and administrative functions within a higher education environment. This role requires excellent organizational skills, strong communication abilities, and the capacity to juggle multiple tasks in a dynamic academic setting.
As a key contributor to the institution's success, the Administrative Assistant will interact with faculty, staff, students, and external partners to ensure seamless administrative support.
Key Responsibilities:
Administrative Support:
- Manage scheduling and calendars for faculty, department heads, or administrators.
- Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle correspondence via email, phone calls, and mail.
- Maintain an organized system for physical and electronic records and files.
Student and Faculty Interaction:
- Provide front-line assistance to students, faculty, and visitors with inquiries.
- Support recruitment and onboarding efforts for new faculty or staff members.
- Assist in maintaining class rosters, scheduling rooms, and updating course materials in systems like learning management platforms.
Technology Utilization:
- Use academic management systems, office software, and collaboration tools to facilitate day-to-day functions.
- Troubleshoot minor IT or equipment issues as needed.
Policy Compliance and Updates:
- Ensure compliance with institutional policies and procedures.
- Stay informed about updates to educational guidelines or administrative protocols.
- Associate’s degree or higher (Bachelor’s degree preferred), with coursework or experience in administration, education, or a related field.
- Proven experience in an administrative role, preferably within a higher education setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database tools and learning management systems (e.g., Canvas, Blackboard).
- Excellent verbal and written communication skills.
- Strong attention to detail, organizational abilities, and time management.
- Ability to work with diverse populations and demonstrate cultural sensitivity and inclusion.
- Discretion when handling confidential information.
Preferred Qualifications:
- Knowledge of the academic structure and operations in higher education, including grant processing, student services, or faculty communication.
- Understanding of institutional policies and accreditation requirements.
