We are offering a contract to hire employment opportunity for an Executive Assistant in MICHIGAN CITY, Indiana, United States. As part of our team, the Executive Assistant will be instrumental in providing administrative support and ensuring efficient operation of the office.
The role involves significant interaction with various departments and requires a broad set of skills such as Calendar Management, Conference Calls, Correspondence, and Activity Reports.
Responsibilities:- Facilitate efficient communication by managing incoming and outgoing correspondence, including emails, letters, and packages.
- Provide top-level administrative support by managing complex calendars for meetings, travel, and other commitments.
- Maintain and preserve a variety of records, ensuring confidentiality and accuracy in handling electronic files.
- Facilitate smooth business operations by preparing meeting agendas and support materials, and taking minutes during meetings.
- Ensure the smooth running of the office by ordering supplies, negotiating with vendors, and maintaining office inventory.
- Assist in the preparation of reports, memos, and agendas, contributing to the efficient flow of information within the office.
- Deliver excellent customer service by greeting visitors, answering phones, and directing calls appropriately.
- Assist with the agency's procurement needs, ensuring timely sourcing and delivery of required items.
- Perform upper-level business diplomacy tasks, acting as a liaison between different departments and stakeholders.
- Manage the agency's social media platforms, ensuring timely updates and responses to inquiries. • Proven experience as an executive assistant or related administrative role with a minimum of 3 years of experience
- Proficient in the use of office software and tools, including MS Office Suite
- Demonstrable experience in managing calendars, scheduling appointments and meetings
- Ability to manage and coordinate conference calls
- Strong written and verbal communication skills for managing correspondence
- Experience in preparing and compiling activity reports
- Excellent organizational and time management skills
- Ability to work in a fast-paced environment, prioritize tasks and work under pressure
- High level of discretion and confidentiality
- Exceptional attention to detail and problem-solving skills
- Possess the ability to work independently and collaboratively within a team.
