Overview:

Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for an Operations Assistant Manager, Orange County in Anaheim, CA

To assist in supporting the Operations Team in directing a comprehensive service program to ensure high quality primary and reproductive health care services in Orange County. This position will stay informed and involved and will help with the daily patient flow of the health centers while assisting in the daily operations to comply with organization policy and meet or exceed projected health center goals.

The Operations Assistant Manager assumes coverage and overall responsibility for the center’s operations in the absence of any of the Health Center Management Team.

Qualifications:

Minimum Work Experience:

  • Minimum of two (2) years of experience in a health, medical, or social service setting. Reproductive, managed/primary health care, and/or abortion services experience preferred.

Supervisory Experience:

  • Demonstrated ability as an effective leader, including coaching and team-building skills.
  • Strong written, verbal, and interpersonal skills.
  • Budgeting experience.
  • Excellent strategic planning skills.
  • Must be self-motivated and have the ability to work without direct supervision.
  • Minimum of one (1) year demonstrated supervisory experience preferred.
  • Minimum of one (1) year of PPOSBC experience (internal preferred).

  • This position requires travel to other sites and locations; if using a personal vehicle to meet this requirement, a valid CA driver’s license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.
  • Abortion patients are cared for at each of our health centers and in part through the administrative, support, and other non-clinical services provided at all PPOSBC locations and by all PPOSBC employees, and supporting these critical services is an essential job duty and fundamental responsibility of all employees.

Responsibilities:

Essential Functions: Essential functions encompass the required tasks, duties, and responsibilities performed as part of the job and the reason the job exists.
  • Assist Health Center Management Team with scheduling staff to ensure appropriate staff coverage due to unscheduled absences and ensure schedules are opened 3 months in advance.
  • Assist in identifying health center operational barriers and communicating them to Operations Manager.
  • Assist in coordinating appropriate health center coverage and attendance during all health center staff meetings such as Annual PS Meetings, Quarterly Meetings, PC Staff Meetings, etc.
  • Participate in clinical/client/patient services management team meetings and interdepartmental meetings as assigned Operations Manager.
  • Work cooperatively with the Health Center Management and Operations Manager to maintain maximum communication and support between health center staff, patients, and administration,
  • Represent as liaison between Administration and Health Center Staff.
  • Assist in creating and monitoring Health Center Manager’s training calendars for Orange County.
  • Assist in tracking and filing quarterly health center reports, including one-on-ones, health center observations, and all health center logs, to meet Orange County standards.
  • In conjunction with the Health Center Float Management Team and Operations Team, ensure appropriate daily management coverage in all health centers and cover as needed.
  • Assist the Health Center Management Team and Patient Services Administration in implementing new services, policies, and protocols.
  • Assist in ensuring meeting standards in compliance and facilities.

Health Center Coverage as Needed:

  • Act as a “Flow Facilitator” and continually monitor schedules to improve patient wait times and customer service.
  • Communicate any changes, new processes, and weekly updates information in a daily morning huddle. Notes are to be completed daily and sent out to all Health Center staff.
  • Review and manage any health center discrepancies and follow up as needed.
  • Responsible for management and non-direct patient care-related services in the Health Center. Assist in overseeing a full range of services, including but not limited to reproductive health care, primary care, managed care, and abortion services.
  • Assist in onboarding the areas of personnel policies and procedures, medical procedures, statistical and record-keeping requirements, inventory procedures, office and equipment maintenance, Risk Management, Quality Assurance, Illness & Injury Policies & Procedures, CLIA Guidelines, and emergency procedures, and on-going training/updates as required.
