Responsibilities: The Administrative Specialist position is in person in our Chicago, IL office.

Responsibilities:

  • Monitor and manage the front desk, greet clients and vendors
  • Schedule and maintain aesthetic of conference rooms and common areas, handle hospitality arrangements and assist with local events, order and restock supplies
  • Manage incoming and outgoing mail
  • Answer phones for multiple offices over a centralized calling system, monitor fax lines, and centralized voicemails
  • Provide administrative support to ensure deadlines are met, while maintaining a positive, collaborative work environment
  • Develop and demonstrate a general knowledge of the firm's products and services
  • Assist other administrative staff and overflow work as needed
Knowledge, Skills and Abilities:

Qualifications:

  • Requires two years of administrative experience with a high school education, or one year of administrative experience with an associate degree
  • Experience working in a professional services work environment is preferred
  • Experience with hospitality and event management is preferred
  • Requires intermediate proficiency in Microsoft Outlook, Word, Excel, and Adobe: Microsoft Teams experience is preferred
  • Ability to provide clear and concise verbal and written communication skills
  • Ability to plan, prioritize, and organize many projects simultaneously under pressure and time deadlines
