We are seeking a detail-oriented Accounting Administrator to join our team and support essential financial operations by managing utility account invoices. This position involves downloading, organizing, and logging invoices into our system to ensure accurate and timely documentation.
If you have excellent Excel skills and a strong understanding of PDF file management, we’d love to have you on board!
Responsibilities:
- Invoice Management: Log into various utility accounts, download PDF invoices, and save them in designated folders for easy access and record-keeping.
- Excel Tracking: Accurately log invoice details into an Excel spreadsheet, ensuring all records are current and marked for open or closed status.
- Communication: After compiling and verifying all invoices for a division, email the complete set to the designated recipient.
- Document Handling: Use advanced PDF features to edit, add text, split, and combine files as needed for accurate invoice preparation and submission.
Required Skills:
- Excel Proficiency: Ability to use and manage data in Excel, with attention to detail in tracking and logging invoices accurately.
- PDF Document Management: Skilled in saving, editing, and combining PDF files, adding text annotations, and managing document properties within MS Office.
- Attention to Detail: Meticulous in organizing invoices and records to ensure accurate and timely submissions.
- Preferred Qualifications:
- Previous experience in an administrative or accounting role, particularly with utility account management or invoice processing.
- Familiarity with Microsoft Office Suite for file management, emailing documents, and general office tasks.
