Remote Administrative Assistant (Biotech)
PDX Pharmaceuticals currently has an opening for an Administrative Assistant.
The Administrative Assistant position will provide administrative support for leadership and staffs. The candidate performs a full range of administrative and task-oriented functions for projects in a dynamic and fast-paced work environment, carefully reviews contracts and correspondence between PDX Pharma and external collaborators (and prepares clear action items for the team), assists/maintains calendars and communications of leadership, develops and carries out an efficient documentation system, and monitors budget and spending.
Prior direct experience is preferred but not required as long the candidate has shown evidence of discipline and hard working through prior coursework or other experiences, and excellent English communication skills (verbal and written). Background in science and ability to understand technical writing is a big plus.
Specific Responsibilities- Provide advanced level of administrative support to the CEO and COO. Responsible for creating a seamless experience for leadership with the whole Company through proactive planning and coordination.
- Review paperworks (contracts, agreements, etc.), facilitate document signatures (e.g., Docusign routing), and prepare action items for the team.
- Handle correspondence and registrations (e.g. addressing survey requests and maintaining/renewing registrations as necessary).
- Organize and categorize administrative files and documents.
- Manage complex calendars, can independently prioritize conflicting schedules.
- Manage payroll (e.g. coordinating with a payroll company and our accountant)
- Financial planning and reporting: prepare and revise budgets for internal use, Board of Directors, and other stakeholders.
- Conduct comprehensive reviews of accounting records and ensure accurate bookkeeping
- Oversee insurance plans (e.g. monitor, fill out, and coordinate insurance plans and their upkeep)
- Assist with human resources function
- Task Management: Oversee the company's to-do list to ensure all tasks are organized and completed in a timely manner.
- Other duties as assigned
- BA or BS with excellent academic record.
- Excellent communication (verbal and written; ability to understand contracts and basic technical terms) and interpersonal skills.
- Excellent organizational skills, attention to detail, accuracy, responsiveness, and follow-through.
- Ability to prioritize and manage multiple, complex tasks with changing priorities.
- Excellent problem-solving skills and ability to research and understand new topics.
- Experience functioning effectively as a team member demonstrating initiative, flexibility, resourcefulness, organization.
- Proficiency in using Microsoft Office (Word, Excel, Powerpoint, Outlook, etc.).
- Proficiency with basic computer skills, such as typing, navigating the Internet, and using Windows operating system.
- Strong work ethics
- Background in Sciences, Engineering, or other relevant fields.
- Prior experience in research lab or biotech.
Salary + benefits: ~43,000-50,000 USD, commensurate with skills and experience.
Remote working is feasible.
