Administrative Assistant needed in Chesapeake! Do you have previous administrative experience in the medical field providing administrative support to management? This critical Administrative Assistant role helps ensure operational efficiency, compliance, and quality patient care delivery.
Administrative Support: Provide day-to-day administrative assistance to medical staff, including physicians, nurses, and clinical teams, ensuring smooth operations and communication within the department. Office Management: Oversee office operations, including inventory of supplies, equipment maintenance, and ensuring compliance with workplace policies.
Scheduling and Calendar Management: Coordinate and manage schedules for medical practitioners and staff, as well as arrange patient appointments. Medical schedulers and coordinators often use software systems such as Epic or Cerner. Data Entry and Electronic Health Records (EHR): Maintain accuracy in the entry of patient records and medical data into electronic systems like Epic, Cerner, Workday, or other EHR software.
Communication and Liaison Patient Interactions: Respond to patient inquiries, coordinate follow-ups, and facilitate communication between patients and medical staff. Coordination with Stakeholders: Serve as a point of contact for vendors, insurance companies, and other external stakeholders.
Develops presentations for leadership team using PowerPoint and Adobe. Compliance and Documentation Regulatory Compliance: Ensure that the administrative processes align with healthcare regulations Documentation Management: Organize, update, and maintain hard and electronic copies of confidential patient records, billing codes, and other critical documentation.
1-2 years’ relevant office or healthcare experience required. Previous experience in office management or prior role with administrative support experience is required. Preferred Education and Experience 3 or more years’ relevant clinical office or healthcare experience preferred.
Project management experience preferred. Required Knowledge, Skills and Abilities Demonstrated ability to work independently with minimal supervision, including solving problems. Strong proficiency and technical aptitude in Microsoft Office products, including Excel, PowerPoint, Outlook and Word.
Proficiency in adopting new technology and tools for effective work. Excellent organizational and multi-tasking skills with high attention to detail. Exceptional interpersonal skills and professionalism when dealing with diverse constituencies.

Confident in communicating and interacting with various levels of management and multidisciplinary teams. Familiarity with medical terminology and proficiency in EHR systems Strong organizational, time management, and communication abilities, especially in fast-paced settings.
