Key Responsibilities:
- Reception & Customer Interaction:
- Greet and assist visitors, contractors, and employees in a friendly and professional manner.
- Answer and direct phone calls, providing accurate information and excellent customer service.
- Maintain a visitor log and ensure security protocols are followed for all guests.
- Administrative Support:
- Manage incoming and outgoing mail, packages, and deliveries.
- Prepare and distribute memos, correspondence, and meeting agendas.
- Support the team with data entry, filing, and document preparation.
- Office Coordination:
- Ensure the front desk and office areas are clean, organized, and stocked with supplies.
- Coordinate meeting room schedules and assist with set-up for meetings or presentations.
- Act as a liaison with facilities management for maintenance or supply needs.
- Operational Support:
- Assist with maintaining project and vendor records, ensuring accuracy and organization.
- Provide support for construction project teams, such as scheduling and tracking progress reports.
- Uphold confidentiality when handling sensitive company and client information.
Requirements:
- Previous experience as a front desk coordinator, receptionist, or administrative assistant.
- Strong interpersonal and communication skills to interact with clients, vendors, and staff.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
- Excellent organizational skills and the ability to multitask in a fast-paced environment.
- Familiarity with the construction industry or related fields (preferred but not required).
- High level of professionalism and discretion when handling sensitive information.
