Job Summary:We are looking for a detail-oriented and organized Payroll Coordinator to manage payroll processing across multiple companies. The ideal candidate will have experience in payroll administration, an understanding of different payroll systems, and the ability to handle the complexities of processing payroll for multiple organizations.
You will be responsible for ensuring timely and accurate payroll submissions, compliance with tax regulations, and maintaining employee records for each company.
Key Responsibilities:
- Payroll Processing: Manage end-to-end payroll processing for multiple companies, ensuring accuracy in wage calculations, deductions, bonuses, and tax withholdings.
- Compliance: Ensure compliance with federal, state, and local payroll tax laws, as well as internal company policies and collective bargaining agreements.
- Record Management: Maintain and update payroll records, including employee information, pay rates, tax exemptions, direct deposit details, and deductions for each company.
- Issue Resolution: Address and resolve payroll discrepancies, employee inquiries, and any issues related to payroll processing.
- Reporting: Generate and distribute payroll reports for management, accounting, and auditing purposes, ensuring timely and accurate information is provided to stakeholders.
- Coordination with HR: Work closely with human resources departments across companies to ensure employee benefits, leaves, and other HR-related data are accurately reflected in payroll.
- Audits and Compliance Reviews: Assist with internal and external payroll audits, providing necessary documentation and correcting discrepancies as required.
- System Management: Stay up to date on payroll software updates and troubleshoot any issues that arise in the payroll processing systems.
Qualifications:
- Bilingual in Spanish
- Proven experience in payroll administration, with a preference for candidates with experience handling payroll for multiple companies.
- Strong knowledge of federal and state payroll regulations, tax laws, and compliance requirements.
- Proficiency in payroll software systems (e.g., ADP, Gusto, QuickBooks Payroll) and Microsoft Excel.
- Exceptional attention to detail and strong organizational skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong communication and problem-solving skills.
- Ability to manage multiple payroll cycles and meet deadlines under pressure.
Education:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred) or equivalent work experience.
- Certified Payroll Professional (CPP) designation is a plus.
