Job Summary:

  • This position serves as the Database Administrator for the Development Department and provides general administrative support to the Development and Communications Department.

Responsibilities:

Database Administrator

Serves as Database Administrator for the Donor Perfect fundraising platform, including:

  • Gift processing, including acknowledgement letters and tax receipts; creates filters, exports and mailing codes for solicitation and outreach mailings
  • Files weekly gift reports with backup documentation
  • Pulls gift reports weekly, monthly and annually as assigned
  • Enters new constituent records (family, friends, companies, foundations, government entities, event participants)
  • Updates existing constituent records, which requires interfacing with Woods' Electronic Health Records to obtain biographical information
  • Addresses corrections from Post Office; update records for constituents who are deceased, or lost addresses; manages other database cleanup/update activities as needed.
  • Manages the interface with Constant Contact (email marketing platform)
  • Assists staff with research on individual donor prospects (Donor Search)
  • Maintains administrative functions for the Run for Woods and Woods Golf Classic websites and manages communication with OneCause (software) from January - September to assist individuals registering and fundraising for the events.

Administrative Support

Works with the Sr. Director, Community Engagement & Marketing, Sr. Director, Strategic Communications, and Dir, Corporate, Foundation & Govt. Support and other Development and Communications staff to coordinate database functions and manage production of large mailings:

  • Maintains calendar for office and for mailing production
  • Envelope and letter production
  • Serves as liaison with Woods' mailroom
  • Creates and maintains electronic files for all mail pieces
  • Coordinates meetings, ie. room assignments, nutrition services, presenters' A/V needs, timing (finding appropriate availability based on attendee's schedules), and invitee response management
  • Attends meetings as official minutes-taker as requested
  • Maintains accounting systems, including generating and submitting monthly reports to accounting for reconciliation purposes; generating monthly financial reports for Development staff; pulling gift reports for annual audit, as assigned; tracking departmental budgets.

Other duties as required, which may include, but is not limited to:

  • Proofs and edits gift acknowledgement letters
  • Schedules meetings and conference rooms
  • Maintains inventory of needed supplies and place orders to resupply as needed, including letterhead, envelopes, replay cards, business cards, etc.

Qualifications:

  • HS Diploma or equivalent required.
  • Knowledge of and experience using fundraising database (Donor Perfect, Donor Search, OneCause, Constant Contact)
  • Knowledge of Microsoft Office, including Excel to manage data and graphs, create monthly PowerPoints for presentations, etc.
  • Knowledge of desktop publishing (Publisher, Canva)
  • Knowledge of OneDrive, Office 365, Sharepoint, CareLogic (electronic health record)
  • Event planning and implementation, must be detail oriented
  • Exceptional organization skills
  • Demonstrated ability to solve problems and work in a team environment
  • Strong verbal and communication skills
  • Must be able to meet deadlines, respond promptly to donor requests for information, and manage the demands of multiple projects.
