Tax Administrative Lead

Responsibilities:

A Day in the Life

A typical day as a Tax Administrative Lead might include the following:

  • Sharing department directives and providing training to administrative staff on industry/office specific processes.
  • Acting as liaison between the department admin staff and OA.
  • Leading, supervising, and/or coordinating administrative processes and team members within a department.
  • Working within the region on shared administrative processing/duties as coordinated through office management.
  • Work with spreadsheets, track data in a database, time record keeping and client maintenance.
  • Assist office administrator, partners, managers and staff with all office activities, including: coordinating client meetings, scheduling appointments, and composing correspondence.
  • Print and assemble final versions of tax returns for corporations, individuals, partnerships, payroll, nonprofit and financial institutions.
  • Electronically track and save returns according to Firm guidelines. Responsible for producing extensions tracking. Lead support for return processing.
  • Organize incoming client information.
  • Setting up new clients and maintains existing client data in the practice management system.
  • Composing and typing routine correspondence including orders, memos, letters, and reports.
  • Performing miscellaneous scanning, filing, faxing, and copying duties as needed.
  • Reviewing, sorting and routing incoming mail; distributing outgoing mail.
  • Greeting visiting clients and directing them to the correct person.
  • Answering telephones and giving information to callers; routing calls to appropriate personnel.
  • Ordering and stocking office supplies.
  • Completes projects as assigned by the Office Administrator, Market Leader and/or Department Heads.
  • Ensures timely and accurate performance on assigned projects.
  • Maintains compliance with project budgets, turnaround times, and deadlines

Qualifications:

Who You Are
  • You have a High School Diploma and 5+ years of past administrative support experience and you are able to work overtime and Saturdays during the busy tax filing periods.
  • You thrive in a high-volume, fast-paced work environment.
  • You are a multi-tasking master, and there has never been a deadline you could not meet.
  • You can quickly prioritize and organize your work to complete tasks of an immediate nature.
  • You hold yourself to the highest professional standards and maintain strict client confidentiality.
  • You are proficient in Microsoft Excel including the ability to create spreadsheets, perform data entry, use basic formulas (e.g., SUM, AVERAGE, IF), and generate simple charts and graphs.
  • You are proficient in Microsoft Word including formatting, creating tables, and utilizing mail merge functions.
  • You are proficient in Outlook, DocuSign, Teams and Adobe Acrobat. Power BI and Salesforce experience is a plus.
  • You are exceptionally detail-oriented with strong verbal and written communication skills - reviewing communications and fixing errors is a task you love!
  • You love collaborating and being part of a team but also enjoy working alone with limited supervision.
  • You preferably have experience working in a professional service or accounting firm.
  • This position requires prolonged standing and sitting, some bending, stooping and stretching and the ability to lift up to 20 lbs.

Compensation

$33-$40 per hour.

Our compensation philosophy emphasizes competitive and equitable pay. Eide Bailly complies with all local/state regulations regarding displaying ranges. Final compensation decisions are dependent upon factors such as geography, experience, education, skills, and internal equity.
