Executive Assistant

We are looking for an Executive Assistant to join our client's team in the non-profit sector. The role will be based in Chicago, Illinois, and offers an exciting opportunity for the right candidate. As an Executive Assistant, you will be responsible for providing high-level executive support, managing calendars, coordinating meetings, and overseeing various projects and programs.
This position is located in the Chicago Loop and is hybrid, 3-4 days in-office.
Responsibilities:- Manage and organize the dynamic calendars of executives, ensuring optimal use of their time.
- Coordinate and schedule internal and external meetings, responding to requests in a timely and respectful manner.
- Serve as a liaison between executives, staff, and external partners, communicating effectively on behalf of the executives.
- Prioritize and manage conflicting demands for executives' time, ensuring strategic use.
- Maintain updated contacts and manage email correspondence in SalesForce, optimizing ongoing engagement with VIPs.
- Assist in program planning and project management, ensuring smooth execution of tasks.
- Oversee budgets and provide periodic reports to the executives on the status of their budgets.
- Draft correspondence and memos on behalf of the executives, maintaining a detail oriented tone and accuracy.
- Conduct research on various programmatic topics as required by the executives.
- Arrange complex and detailed travel plans for the executives, including logistics, itineraries, and meeting materials.
- Proofread and copyedit materials to ensure accuracy and consistency.
- Support executives with personal affairs when necessary, maintaining a high level of confidentiality and professionalism.
- Minimum of 3 years of experience in an executive support role within the Nonprofit industry
- Proficiency in managing executive calendars and scheduling appointments
- Experience in coordinating and managing programs within a non-profit setting
- Familiarity with Program Management Office operations is necessary
- Excellent PowerPoint presentation skills for creating impactful presentations
- Experience in making complex travel arrangements including flight and hotel bookings
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Ability to manage multiple tasks and projects simultaneously
- Excellent problem-solving skills
- Demonstrated ability to handle confidential information with discretion
- Proficiency in using Microsoft Office Suite including Word, Excel, and Outlook.
