Accounts Payable Supervisor/Manager

Robert Half is looking for an AP Manager to assist a non-profit in the Seattle area. This is a long-term contract employment opportunity that is projected to go through summer 2024. The role requires fonsite training but offers remote flexibility after 1 month (1-day onsite post training).

Responsibilities include are not limited to:

  • Oversee and review duties related to accounts payable and grants payable, provide assistance and evaluation during weekly workflows, and organize and manage daily activities and tasks.
  • Implement strategies and protocols for accounts payable and grants payable operations that comply with relevant principles, including suitable internal controls and regulation compliance.
  • Contribute to the above by working with the assistant controller and others to ensure system users and automated workflow allocations accurately support internal control and processing methods.
  • Establish necessary AP/GP reports to assist with processing and reconciliation needs.
  • Reconcile associated general ledger accounts including accounts payable, grants payable and accrued expenses.
  • Maintain and distribute AP forms like New Vendor Forms, Payment Request Forms, and Employee Expense Reimbursement Forms, among others.
  • Handle supplier contracts and direct guidelines concerning the organization and naming architecture of AP/GP files.
  • Educate internal divisions and external collaborators on AP/GP handling procedures.
  • Assure compliance with IRS 1099 obligations and oversee 1099 preparations with the Accounts Payable Specialist.
  • Collaborate with internal IT employees and external software developers to solve AP/GP technical issues.
  • Complete reporting and research tasks as needed.
  • Minimum of three years of experience in Accounts Payable or related finance roles
  • Strong understanding of account coding and accrual accounting
  • Experience with accounting software systems
  • Solid background in data processing and auditing
  • Experience in accounts payable (AP) and automated clearing house (ACH)
  • Knowledge of fund accounting for non-profit organizations
  • Ability to supervise, train, and evaluate staff performance
  • Excellent analytical skills to manage large amounts of data
  • Attention to detail and accuracy
  • Strong interpersonal and communication skills
  • Ability to meet deadlines
  • Strong understanding of regulatory standards in the finance industry.
