POSITION SUMMARY

The Program Specialist, Center for Healthy Aging supports a new statewide falls prevention coalition network initiative. The Program Specialist supports daily activities, including direct technical assistance to subgrantees, and acts as a liaison on various efforts including project administration, requests for proposals, work tasks, data collection, and timeline management.

The Program Specialist uses well-developed organization skills, resourcefulness, and passion for coalition building and network activation for healthy communities.

The Program Specialist will also be responsible for establishing the subgrant application and review portal, assisting with dissemination and outreach efforts, interfacing with applicants, managing the review process, assisting with scheduling, project meetings, and ensuring timely administration of the grants.

The Program Specialist may also contribute to marketing and communications activities such as developing newsletter articles and conducting webinars. This role works collaboratively within the Center for Healthy Aging (CHA) team, and cross-functional teams (IT, CRM, MarCom, Policy, Finance, Research and Evaluation), using strong relationship management, communication, organizational, resourcefulness, and problem-solving skills to impact the lives of older adults through advancing this initiative.

Positions at this level typically require strong experience managing projects and deliverables across departments. Incumbents are required to make independent judgements within their scope of work and require minimal oversight. Incumbents generally have two or more years of experience in their discipline and a bachelor’s degree or the equivalent, as well as substantive experience at this level.

Graduate level degrees may be considered in lieu of experience.

  • This grant-funded position is a short-term, temporary position that is funded for 24 months through August 2026 and designed to be filled by a W-2 employee, but NCOA is open to working with a 1099 contractor or consultant under the appropriate arrangements.
KEY RESPONSIBILITIES
  • Participates in implementing strategies to achieve NCOA’s goal of significantly improving the health and well-being of 40 million older adults by 2030.
  • Works closely with the Center for Healthy Aging team and other staff to implement a comprehensive strategy to expand the reach and sustainability of healthy aging programs and services.
  • Provides technical assistance to state falls prevention coalitions and their partners involved in falls prevention activities.
  • Coordinates key falls prevention outreach activities to include communications with state coalition grantees, translation of materials, and webinar set-up.
  • Supports and maintains relationships with existing state fall prevention coalitions and community-based organizations involved in falls prevention activities.
  • In conjunction with the Associate Director, Network Development and Engagement, ensures that state falls prevention coalitions that have senior center affiliations are tagged.
  • Generates reports from Salesforce in response to requests from community partners, database users, funders, program staff and leadership, policy team, and the Marketing and Communications team.
  • Supports the setup, monitoring, and exporting of online surveys in Qualtrics, SurveyMonkey, and other systems.
  • Distills complex information into simple and compelling messages for maximum clarity, understanding, and impact.
  • Contributes to routine reports, such as issue briefs, community partner surveys, and Administration for Community Living (ACL) semi-annual grant progress reports.
  • Supports and contributes to healthy aging pilot projects and initiatives and meets deadlines.
  • Participates in occasional speaking engagements, and conference presentations.
  • In collaboration with NCOA colleagues, contributes to planning, promoting, facilitating, and coordinating webinars and NCOA’s annual conference, Age+Action.
  • Other responsibilities as required.
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
  • Bachelor’s degree with a minimum of two (2) years of experience in program administration and/or project management.
  • Proactive and solution-oriented approach to learning new technical skills, resolving problems, and seeking help when needed.
  • Strong organizational, administrative, and analytical skills with a keen attention to detail.
  • Experience in customer relationship management.
  • Demonstrated ability to effectively multi-task, prioritize, meet deadlines in a fast-paced environment, and achieve high-performance goals.
  • Excellent writing, editing, and document formatting skills.
  • Ability to interface with multiple stakeholders and contribute positively to team dynamics.
  • Strong technology skills, including proficiency with advanced features in Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Familiarity with Salesforce or other database systems, as well as digital platforms and tools (such as WizeHive and DocuSign), is a plus.
  • Experience with grants management a plus.
  • Familiarity with community coalition building or supporting community-based initiatives, and passion for NCOA’s mission of serving older vulnerable adults is a plus.
