Front Desk Receptionist - Part Time

Overview:

Knowledge Services is looking for a friendly face with a passion for serving others to set the tone for welcoming visitors and associates in our Crosspoint Center Headquarters! As a Front Desk Receptionist for Crosspoint Center, you are responsible for managing front desk activities and services, including the reception area, mail, supply inventory, facilities and building events.

You keep the building running smoothly, find solutions before problems arise, and assist associates and tenants with any requests. Interested candidates must be able to multi-task and maintain a professional demeanor when under pressure. Most importantly, you fulfill every request, greet every person, and complete every task with a warm smile and friendly attitude!

This role is a part time opportunity and the scheudle is Wednesday, Thursday, and every other Friday. Working hours are 7:00-4:00 PM EST

Responsibilities:

  • Manage the reception desk in the building lobby and serve as the primary point of contact for visitors and associates.
  • Manage the setup and maintain cleanliness and replenishment of goods for resident amenities such as coffee/water stations, bike storage, and lobby lounges.
  • Assist associates daily with package deliveries (logging system/signature management), announce visitors, helping to facilitate building maintenance and service requests, and provide building access to vendors/contractors (housekeepers, utility services, grocery deliveries, etc.).
  • Monitor security systems and camera, conducting visual property inspections, and maintaining reports of activity and escalating actions needed.
  • Assist with the direction and supervision of moves – scheduling and monitoring loading zones, elevators, and lobby access, as needed.
  • Assist building management and leasing team with administrative support, as needed.
  • Assist with transporting Crosspoint Center associates to and from the parking lot, as needed.

Qualifications:

  • Prior experience in a similar Reception, Hospitality, or Executive Assistant role.
  • Personality and Presence – possess a passion to care for others, stand proud and approachable, and approach all encounters with a gracious, courteous, and service-oriented manner. The ability to effectively deal with internal and external associates and guests, some of whom could require high levels of patience, tact, and diplomacy.
  • Must be punctual, properly groomed, professional in appearance with a positive hospitable attitude.
  • Highly Organized – superior ability to multitask and prioritize tasks with focus and precision.
  • Detail Oriented – double and triple checks work to ensure protocols and checklists are followed carefully, provides through and detailed shift reports, and ensures that follow-up occurs to provide closure to outstanding matters.
  • Accountability – ability to be prompt to report to work and timely in conducting tasks throughout shift and reviewing your work for effectiveness and efficiency and striving for perfection. Capable of working with guests and Team Members in a fast-paced environment.
  • Proactive – anticipate the needs of the building operations and take the initiative to proactively solve any potential hiccups before they turn into real issues. You bring solutions, not problems, to the table.
  • Team Spirit – treats tenants and guests with respect and positivity, be a mentor to new members, and aid and coverage to support your team, as necessary.
  • Working knowledge of mail processes, such as a postage machine, FedEx, and UPS. Experience using multi-line phone systems.
  • Proficient in MS Office, specifically Outlook, Word, and Excel

Physical Requirements / ADA:

  • No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.
  • Occasional – Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; travel or other inconveniences have advance notice; involves occasional exposure to demands and pressures from persons other than immediate supervisor.
  • Job frequently requires sitting, handling objects with hands.
  • Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 10 pounds.

Vision requirements: Ability to see information in print and/or electronically.
