Purchasing Representative

Reports to: Purchasing Manager

Purpose: Purchasing representative will negotiate with vendors for the purchase of materials, supplies, equipment, and services used by the company.

Primary Responsibilities:

  • Negotiates with vendors for good and services, negotiating the best possible price and service guarantee.
  • Works in conjunction with the Production Manager to determine when purchase orders need to be placed or changed to cover job requirements. Communicate any important information to the Production Manager that may impact production.
  • Develops new supply sources where vendors are inadequate.
  • Examines bids and makes awards.
  • Establishes account/credit and terms. Communicates purchases with Accounting Department.
  • Negotiates blanket purchase orders when appropriate and monitors cost during the time period.
  • Works with receiving department to resolve issues.
  • Supports Accounts Payable to resolve invoice discrepancies.
  • Works closely with receiving department to ensure proper supplies arrived.
  • Traces delinquent arrivals from purchase orders. Work closely with appropriate vendors until any issue is resolved.
  • Keep all personnel up-to-date in regards to purchased inventory by running reports and maintaining active vendor accounts in company software, filing appropriate paperwork, communicating any relevant information, and resolving any issues as quickly as possible.

While performing the duties of this job, the employee is in an office setting most of the time but may be required to walk onto shop floor to speak to other employees. The employee is required to sit for long periods of time, stand, use hands to operate, finger, handle, or feel; talk, hear and reach with hands and arms.

The employee must occasionally walk and lift and/or move items less than 35 pounds. Must have visual acuity that is good enough to perform tasks in a safe and productive manner. Employee is subject to the same conditions as other employees working in our machine shop environment and therefore needs to be aware of the fact that they may need safety glasses and/or other protective equipment when they go out into the shop.
