Project Accounting Coordinator

As we continue to grow, we are seeking a Project Accounting Coordinator to support our contract projects with financial tracking and administrative coordination.This position will report to the Director of Accounting.
Position Overview:
The Project Accounting Coordinator will play a key role in managing financial aspects of our projects, ensuring accurate billing, cost tracking, and compliance with contracts. This position works closely with Project Managers, Project Engineers, Accounts Payable, Accounts Receivable and other teams to maintain efficient project operations.
Key Duties and Responsibilities:
- Assist with setting up new projects and tracking change orders.
- Work with the Project Engineer to ensure building permits and exemption certificates are secured.
- Enter project costs into BisTrack, including labor costs and accruals from the time-tracking software.
- Collaborate with Project Managers to bill contract projects via pay applications.
- Monitor customer payments and follow up on outstanding balances.
- Assist Project Managers with cost-to-complete reports.
- Manage subcontractor certificates of insurance and renewal tracking.
- Coordinate with Accounts Payable for subcontractor payments.
- Track and obtain subcontractor lien releases.
- Maintain up-to-date job spreadsheets.
- Prepare monthly material cost worksheets for Use Tax calculations.
- Generate backlog reports and support financial reporting.
- Attend weekly job meetings and provide project updates.
Job Qualifications:
- Minimum two years of experience in a construction accounting office position
- Familiar with AIA G702 and G703 pay applications and Textura billing
- Notary or able to become a notary
- Intermediate Excel user
- Must be a team player, have strong work ethics, possess strong attention to detail skills, and always look for ways to improve
- Must be able to communicate effectively with others verbally and in writing
- Must be organized and able to meet deadlines
