We are offering a short term contract employment opportunity for a Receptionist in Albany, New York. The primary role of this position is to serve as the first point of contact, handling incoming calls and assisting visitors. This role also includes maintaining the tidiness of the conference room, assisting with meeting setups, coordinating mail pickups, and managing files.

Responsibilities:
  • Managing and directing incoming phone calls and forwarding them as necessary.
  • Assisting with the arrival and departure of employees from other offices and escorting guests when needed.
  • Maintaining the cleanliness and organization of the conference room.
  • Assisting with the setup, food ordering and clean up for meetings and lunches.
  • Coordinating the mailing of packages, including boxing them up and scheduling pickups.
  • Converting old files to a hard system.
  • Utilizing Microsoft Outlook and Teams for internal communication. Knowledge of Excel and PowerPoint is beneficial but not required.
  • Demonstrating a polite, courteous, and neat presentation with a comfort in talking to people.
  • Providing a detail-oriented and friendly environment for all interactions.
  • Minimum of 1 year experience in a receptionist role or similar position
  • Proficiency in answering multi-line phone systems
  • Strong customer service skills and a positive, customer-focused attitude
  • Experience in data entry
  • Excellent email correspondence skills
  • Outstanding interpersonal skills, with the ability to interact professionally with all levels of staff and visitors
  • Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
  • Experience in organizing files and maintaining orderly systems
  • Ability to schedule appointments efficiently, balancing the needs of multiple parties
