We are on the lookout for a dedicated Executive Assistant who will be a key player in our team. As an Executive Assistant, your primary duties will revolve around providing comprehensive support to C-level executives, coordinating projects and initiatives, and managing marketing and event-related activities.

This role is based in Verona, Wisconsin, United States.

Responsibilities:

  • Coordinate and manage the calendar of the CCO, including scheduling meetings, deadlines, and overseeing team calendars.
  • Facilitate effective internal communication and ensure smooth information flow within the teams.
  • Take lead on key initiatives, track progress, and collaborate with various teams to ensure deadlines are met.
  • Proactively anticipate and address potential roadblocks.
  • Manage marketing initiatives, including social media content creation, internal campaigns, and tradeshow organization.
  • Evaluate the success of marketing activities by measuring ROI and coordinate with the headquarters.
  • Organize and assist with company events, both on and offsite.
  • Coordinate and arrange travel for team members, ensuring all necessary documents are in place.
  • Contribute to fostering a positive and collaborative team environment.
  • Assist sales and service teams as required, contributing to team goals and projects.
  • Leverage CRM and other administrative tools to maintain accurate customer records and resolve inquiries.
  • Ensure all operations are in compliance with ISO requirements and objectives. • Proficiency in Customer Relationship Management (CRM) software is necessary for efficient client handling and data management.
  • Demonstrable experience in administrative office duties is required to ensure smooth operations.
  • Ability to coordinate schedules effectively is crucial for managing the executive's time.
  • Experience in coordinating appointments is required to maintain an organized and efficient work environment.
  • Proficiency in answering multi-line phone systems is necessary for managing external communication.
  • Excellent email communication skills are required to facilitate detail oriented and efficient correspondence.
  • Experience in arranging travel, including flight and accommodation bookings, is necessary for seamless executive travel arrangements.
