The Site Support Services business unit manages over 3.5 million square feet of facilities at over 150 ambulatory care and administrative locations across the Bay area. This encompasses multiple Stanford Medicine entities including Stanford Health Care, Stanford Medicine Children’s Health, and Stanford Health Care Tri-Valley.
With a budget of over 64-million-dollars, Site Support Services oversees facility engineering, facility maintenance, project/construction management, property/facility management, housekeeping, and collaborates with security and environmental health & safety.

The Facility Manager (“FM”) reports to the Senior Manager - Facilities Management – Site Support Services. The Facility Manager is directly responsible for a portfolio of about ~500K square feet. The FM is the key point of contact for the customer; the FM will manage, supervise, and aggregate internal and external services for the customer in providing a safe, productive environment for patients, guests, and employees.
The Facility Manager is an onsite position located at Stanford Health Care, with frequent travel to Site Support Services locations required. The Facility Manager must understand the building’s design and equipment needs. The Facility Manager obtains quotes and tenders from vendors and suppliers.

The Facility Manager will also act as a liaison between the client/users and all other project participants, including consultants, contractors, vendors, and outside jurisdictional agencies. This position will provide leadership, coordination, and support to the designated project teams and ensure that all projects are completed within budget, on schedule, and meeting all program objectives and appropriate governmental regulations.

A Brief Overview

The Stanford Health Care Facilities Management department contains professionals responsible for facilities totaling over two million square feet in the portfolio. The Facility Manager I assists the Regional and Facilities Manager in the execution of operational duties requiring extensive field work as related to vendor meetings; site inspections and project follow up and close out.

What you will do
  • Maintains healthy, safe work environment through rounding and visual observation.
  • Collects and assembles measures and metrics at each site for reporting.
  • Participate in the FS&P On Call System.
  • Develops and maintains relationship with the Administrative Assistants of the VPs and the primary contacts; coordinates Campus Council activities as applicable.
  • As needed, conducts site visits with ACE's and/or E&M Technician for correction of customer-generated issues.
  • Assists with the review and monitoring of E&M metrics (i.e. backlog and response) for portfolio for follow up with the ACEs as needed.
  • Supports Facility Managers in execution of tasks and/or follow up as related to activities that impact the customer.
  • Assists with the management, coordination and integration of site/zone services (as applicable) to include but not limited to parking, security, cleaning, landscaping, building system & equipment maintenance services, fire life safety, emergency response.
  • Participates with FM on regular site inspections for condition, safety and aesthetics to include vendors, landlords-property managers for proper building maintenance and functionality to document and manage the corrective actions generated from the site visit.
  • May assist FM by conducting Landlord-Property Manager meetings for follow up on correction of site issues.
  • As applicable, supports FM to work in partnership with E&M to manage Landlord compliance with Fire Life Safety regulations including adherence to lease terms regarding Joint Commission.
  • Assists with scoping review as needed.
  • Supports emergency response in field in partnership with E&M personnel.
  • Assists with annual generation of letters to Landlords regarding compliance with Fire Life Safety regulations; follows up on receipt of information to report to Team.
  • Assists in managing non-skilled labor pool to coordinate facilities requests as applicable.
  • Directly coordinates and/or directs contractor to execute moves, adds and changes; attends meeting to execute details.
  • Fulfills requests by working and meeting with vendors as needed.
  • Workplace environment support and coordination.
  • Assists with workplace services i.e. coffee/copy room and conference room management.
  • Assists with E&M as partner, of medical system service.
  • Assists with ICRA/PCRA documentation completion per policy.
  • Assists with improving cost efficiencies, management of purchased services, PO balance report review, budget and variance report preparation.
  • Assists in the creation of need new site activation materials i.e. welcome packets.
  • Aides in execution of projects through meeting and coordinating vendors.
  • Assists, as applicable for decommissioned sites, coordinates services to close out.
Education Qualifications
  • Bachelor's degree in a work-related discipline/field from an accredited college or university. Relevant experience in lieu of degree may be considered. Relevant experience in lieu of a degree is in addition to experience requirements for this position.
Experience Qualifications
  • 2 years of progressively responsible and directly related work experience.
  • Valid California Driver’s License
  • Preferred professional designations;
  • Professional designations through Building Owners and Managers Institute (BOMI).
  • Professional designations through International Facility Management Association (IFMA).
  • Professional designations through Commercial Real Estate Certification Institute (CRECI).
Required Knowledge, Skills and Abilities
  • Parking operations (valet and self-park garages and lots).
  • Ability to apply judgment and make informed decisions.
  • Ability to conduct analysis and formulate conclusions.
  • Ability to effectively prioritize work and meet deadlines in a fast-paced environment.

  • Ability to plan, organize and manage building operational services; develop, implement and evaluate a variety of building and operation systems and preventative maintenance programs.
  • Ability to plan, organize, prioritize, work independently and meet deadlines.
  • Ability to understand the terms of a contract for facilities maintenance or repair and ensure that work is performed accordingly to that contract.
  • Knowledge of regulations, procedures or technical reference materials relating to building maintenance.

Base Pay Scale: Generally starting at $54.22 - $71.84 per hour
