Bilingual Human Resources Administrative Assistant

Overview:

The Bilingual Human Resources Administrative Assistant provides assistance with and facilitates human resource processes at The Woodlands Resort. This role assists associates with HR related questions and matters; and provides administrative support to the human resource function as needed including record keeping, file maintenance and HRIS entry.

Responsibilities:

  • Performs customer service functions by answering associates requests and questions in a timely and thorough manner.
  • Assist with benefit enrollment/questions
  • Posts hourly positions
  • Submits applications to the hiring manager
  • Launches and completes New Hire Onboarding for hourly associates
  • Completes Forms I-9, verifies I-9 documentation
  • Assists with new-hire packets to include background checks and pre-employment.
  • Assists with Orientation to include tour of resort
  • Conducts audits of TABC, SafeServ programs and CPR/First Aid certifications
  • Assists with processing new-hire paperwork to include entering status changes and new hires into the HRIS system.
  • Assists with processing terminations.
  • Makes photocopies, mails, scans and email documents; and performs other clerical functions as needed.
  • Prepares new associate files and files documents into appropriate associate files.
  • Assists with invoice processing and tracking.
  • Tracks the referral program
  • Assists Director of Human Resources with special projects such as quarterly associate recognition and associate appreciation events.
  • Keeps Director of Human Resources informed of any problems and unusual matters.
  • Working knowledge of federal, state and local laws governing equal employment and civil rights, occupational safety and health, and worker’s compensation.
  • And any other duties assigned.

Qualifications:

  • Relevant People Services (Human Resources)/ administrative experience preferred
  • Prior hotel experience preferred
  • Excellent written and verbal communication skills required
  • Bi-lingual (English/Spanish)
  • Computer proficiency
  • Organanizational skills
  • Ethical practice and the ability to maintain confidential information
  • Able to meet deadlines as necessary
  • Able to work in a fast pace environment
  • Must be able to work a flexible schedule to include some weekends and evenings when needed.
