We are seeking an Executive Assistant to join our team in Guilford, Connecticut. This role centers around providing comprehensive administrative support to our executive team in a dynamic and fast-paced environment. The Executive Assistant will handle tasks such as managing calendars, coordinating travel logistics, preparing for meetings, and acting as an operational support for the business.

Responsibilities:

  • Manage and optimize the use of the executive team's calendar, prioritizing tasks effectively.
  • Plan and coordinate business and private events, ensuring they are executed seamlessly.
  • Arrange and coordinate travel logistics, including reservations and personal appointments, for the executive team.
  • Prepare executives for professional meetings and events by gathering necessary information and creating necessary documents.
  • Handle payments for vendors, draft preparation documents, and create itineraries.
  • Communicate with the office team to supervise ongoing projects and act as an Operations Manager for the business.
  • Schedule and supervise outside contractors/vendors working onsite.
  • Serve as a confidante to the executive team, maintaining a high level of discretion and professionalism.
  • Proactively contribute to events and special projects as needed, anticipating needs and offering support.
  • Utilize skills in Calendar Management, Event Planning, Administrative Assistance, and Microsoft Office Suites to perform tasks effectively.
  • Minimum of 3 years of experience as an Executive Assistant or in a related role.
  • Proven expertise in calendar management and scheduling.
  • Demonstrated ability in event planning and coordination.
  • Strong administrative assistance skills, including filing, correspondence, and report preparation.
  • Proficient in Microsoft Office Suites, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • High level of professionalism and strong interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Bachelor's degree or equivalent work experience.
