Responsibilities:

The Sr Payroll Specialist processes assigned weekly and biweekly payrolls from various company entities and submits to UltiPro Payroll Services, relying on experience and judgement to plan and accomplish duties. The Payroll Specialist ensures the timely and accurate processing of weekly and biweekly pay groups of assigned company entities.
The Specialist uploads all incentive compensation as received on spreadsheets (commissions/bonuses/prizes/spiffs) from multiple internal sources to the payroll system. Through various audits, the Payroll Specialist ensures compliance with time recording policies and practices.

Reconciles various general ledger payroll accounts and posts payroll related entries (Expense, tax and garnishments). The Payroll Specialist serves as the primary point of contact for employees and supervisors or managers to address concerns, questions that come from various parts of the organization.

  • Processes payroll with data from time management systems of weekly and biweekly pay groups for assigned company entities. Maintains changes to and ensures the accuracy and integrity of employee hours worked and payroll data on a timely basis adhering to weekly deadlines.
  • Enters and uploads all variable compensation (incentives/bonuses/prizes/spiffs) and any additional earnings, such as retro pay that is sent to Payroll from various internal sources on a weekly or biweekly basis per pay plans.
  • Runs audit reports to verify accuracy of payroll prior to transmitting files.
  • Completes the internal payroll process control spreadsheets for balancing of all compensation that has been processed for that pay period.
  • Calculates and prints manual checks upon request for various payroll reasons.
  • Prior to payroll processing, ensures compliance and accuracy of time records and paid time off requests and accruals in the time management system. Runs interface in UTM to upload the hours into UltiPro system. Resolves access issues with managers and employees in UTM.
  • Conducts weekly and biweekly auditing; runs scheduled and ad hoc reports as needed; and reconciles various G/L and HR/Benefit accounts.
  • Audits a sampling of timecards on a bi-weekly basis and provides audit results to Finance, HR leaders, and appropriate HR Managers per the results.
  • Performs various monthly/quarterly G/L reconciliations, as well as HR/Benefit reconciliations for (FSA, United Way, ESPP, etc.).
  • Performs payroll related G/L entries that reflect what is processed in payroll on a weekly or biweekly basis per pay plans and assigned companies.
  • Maintains escheat spreadsheet for Sr. Director of Finance for state reporting.
  • Responds to managers and employees with payroll related questions as the primary point of contact for payroll questions / concerns. The Payroll Specialist assists in managing a shared payroll inbox to aide in answering questions or concerns from various parts of the organization.
  • Works with HRIS/HR to audit and correct data as needed to ensure accurate data is being fed into Payroll system.
  • Aides in uploading payroll reporting data into various payroll related systems.

Max: USD $83,129.00/Yr.

Qualifications:

  • Previous UKG expereince required
  • Working knowledge of automated payroll systems.
  • Working knowledge of various automated reporting systems that work with the payroll and timekeeping systems.
  • Working knowledge of automated timekeeping systems.
  • Good understanding of common payroll practices with regards to the calculation of compensation by various pay plans and statuses with ability to understand and calculate overtime compensation for non-exempt salaried and hourly employees and the FLSA calculation methodology.
  • General knowledge of taxation with regards to answering tax withholding inquiries.
  • Knowledge of how pre-tax and post-tax deductions affect an employee’s tax withholdings rates.
  • Good problem solving skills with ability to review employee’s paychecks and resolve issues with minimal supervision.
  • Good customer service skills with ability to handle all types of employees, from entry level to senior management while maintaining composure and responding professionally at all times.
  • Organized with good time management skills in order to handle weekly deadlines.
  • Calm with ability to meet deadlines under pressure.
  • Interpersonal skills with ability to work well with all levels of the organization and within teams.
  • Quick study with ability to master a situation or learn new things with minimum direction or training
  • CPP or similar payroll certification preferred.
