Administrative Assistant - Specialty Pharmacy Services (Relief)

As the Administrative Assistant you will processes medication assistance requests, provides telephonic support and outreach, coordinates medication delivery and receipt, manages MAP inventory. Facilitates and prioritizes time sensitive duties which may include but are not limited to pharmacy program support and operational procedures.
Responsible for ensuring accountability and accuracy of standard operations procedures in these areas. Attends to front lobby activity such as receiving packages, greeting patients, visitors and off-site staff. Provides support for Specialty Pharmacy and PBM activities including but not limited to audits, mailings, schedule coordination, building activities, facilities requests and office supply ordering.

Back storage room inventory and maintenance as well as other supportive functions will be required of this position.

Function/Duties of Position:

  • Process medication assistance requests from patients, providers, pharmacists and clinic staff.
  • Coordinate medication delivery of manufacturer-provided assistance product o including but not limited to receiving freight, verifying FedEx delivery information and outreach to manufacturers to verify receipt.
  • Telephonic support for the Medication Assistance Program, including outreach to patients, clinicians, manufacturer programs, and addressing incoming calls.
  • Attends to front lobby activities including but not limited to greeting of visitors, employees, vendors and facility staff. Coordinates building activities such as employee appreciation events, on-site activities, or maintenance work.
  • Provides support for PBM and pharmacy audits including but not limited to scanning, copying, organizing, mailing, faxing and filing appropriate documentation.

Required Qualifications:

  • Two years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR
  • A Bachelor’s degree and one year of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.

Experience:

  • Prior experience in customer service related job.
  • Must demonstrate an upbeat and outgoing demeanor.
  • Demonstrates ability to communicate effectively, both orally and in writing.
  • Demonstrates interpersonal and conflict resolution skills.
  • Demonstrates superior organizational skills, phone skills, excellent judgment, and customer focus.
  • Demonstrates computer competency including proficiency with Microsoft Office – including but not limited to MS Word, Excel, and Outlook

Preferred Qualifications:

  • High School education.
  • Prior experience in pharmacy or healthcare environment.
  • Warehouse management experience.

Additional Details:

Pay Range: $23.63 - $31.98 per hour

The position must deal with situations on a daily basis with a high degree of intensity. In addition, within the health care setting there can be significant lack of control over the work pace.
