Robert Half is in search of a top-notch Executive Assistant to add some dynamism to our healthcare client based in the Philadelphia area. Be prepared for a role brimming with intricate scheduling, overseeing daily operations, and synchronizing various organizational activities.

The ideal Executive Assistant will be successful if they have excellent verbal and written communication skills and the ability to perform multiple tasks within set deadlines.

Responsibilities:

  • Manage and coordinate executive schedules, including arranging meetings and appointments.
  • Handle administrative tasks such as processing invoices, receipts, and documents related to expense reports.
  • Act as a trusted point of contact for internal and external stakeholders, providing communication and administrative support for key executive initiatives.
  • Coordinate and manage executive meetings, including preparing necessary documentation and correspondence.
  • Maintain accurate records in our CRM platform, including updating information and generating reports as needed.
  • Assist in the organization and coordination of departmental events, projects, or company-wide initiatives.
  • Schedule interviews and facilitate monthly administration meetings as directed.
  • Support the coordination of all operational issues for executive-level meetings, programs, events, or conferences.
  • Assist with special projects as necessary, providing administrative and clerical support.

The ideal Executive Assistant candidate should have a Bachelor's degree or equivalent combination of education.

Other requirements for the Executive Assistant position include and are not limited to:

  • 4+ years of C-Level and/or board experience
  • Non-profit or higher education industry experience preferred
  • Experience with meeting management, travel arrangements, event planning
  • Expert-level proficiency with Microsoft Office Suite and other basic software tools, with a particular emphasis on Outlook proficiency.
  • Strong written and verbal communication skills and demonstrated ability to clearly and effectively communicate across all levels.
  • Proficiency supporting and collaborating with executive staff.
