Part-Time Office Manager

We are offering a long-term contract employment opportunity for a Part-Time Office Manager in Philadelphia, Pennsylvania. The Part-Time Office Manager chosen candidate will play an integral part in maintaining our office operations and handling various administrative tasks in a dynamic work environment.
Responsibilities:
- Oversee and manage vendor payments and communications effectively
- Handle and log Design Vendors' samples efficiently
- Organize and communicate for office events, seminars, and training sessions
- Record and distribute meeting minutes for in-person gatherings
- Manage Human Resources employee files and other confidential documents meticulously
- Administer daily office operations and ensure a smooth workflow
- Handle incoming and outgoing mail and packages in a timely manner
- Undertake additional administrative tasks and projects as required
- Utilize various software systems including Accounting Software Systems, CRM, Dentrix Dental Software, Concur, and others to streamline office operations
- Conduct tasks related to Accounts Payable (AP) and Accounts Receivable (AR) and handle inbound calls professionally when necessary.
- Proficiency in Accounting Software Systems
- Experience with ADP - Financial Services
- Skilled in using Concur
- Familiarity with CRM systems
- Knowledge of Dentrix Dental Software
- Proficiency in 'About Time' software
- Proven experience with Accounting Functions
- Understanding of Accounts Payable (AP)
- Experience with Accounts Receivable (AR)
- Ability to manage Answering Inbound Calls
- Previous experience in a similar role as Office Manager is preferred
- Excellent communication and organizational skills
- Ability to work part-time hours
- Ability to maintain confidentiality
- Strong multitasking abilities and attention to detail.
