Overview:

The Program in Gender and Sexuality Studies (GSS) is seeking an experienced and skilled Undergraduate and Graduate Administrator (UGA). The person selected for this position will be responsible for many aspects of the Program’s undergraduate and graduate certificates and courses, as well as for the successful planning and execution of several of GSS’s signature events.

Additionally, the UGA will have key responsibilities that contribute directly to the Program’s successful day-to-day operations.

The Undergraduate and Graduate Administrator reports directly to the Program Manager and works closely with the Program Director, the Director of Undergraduate Studies, the Director of Graduate Studies, and Graduate Student Leaders. This is a permanent, 12-month position working during the academic year.

Responsibilities:

Oversees Undergraduate and Graduate Certificates
  • Manages program application process
  • Tracks student progress, including working with the Directors of Undergraduate and Graduate Studies to review course exceptions and transfer credit requests
  • Manages travel and research grant funding process
  • Plans, oversees, and attends events (e.g., Academic Expo, Princeton Preview, Sophomore Open House, Senior Theses Presentations, Class Day, practice job talks, conferences)
  • Oversees the annual Senior Thesis Prize
  • Provide logistical support to Graduate Student Leaders who run various groups, such as the Graduate Student Working Group and the Disabilities

Undergraduate and Graduate Course Administration
  • Works with all GSS faculty, PostDoc, lecturers, and visiting fellows to track, prepare, and submit courses
  • Assigns and tracks course numbers for GSS listed and cross-listed courses
  • Manages courses’ waiting lists and assists faculty with CANVAS Learning Management System
  • Handles the scheduling of precept sections
  • Handles course publicity via GSS’s website, social media, and listservs

Program Operations

The Undergraduate and Graduate Administrator will have specific key responsibilities relating to the successful day-to-day operations of GSS and will, along with the Events and Communications Specialist, be responsible for maintaining and updating the Program’s master calendar, website, and social media accounts with accurate information for the public.

The UGA will also provide edited content for specific sections of the Annual Report and complete other essential tasks as needed.

  • Demonstrated project management skills with a high level of attention to detail
  • Proven successful background in decision-making processes, multitasking skills, independent judgment and appropriate discretion, and the ability to work autonomously to meet deadlines.
  • Demonstrated track record of professional leadership and willingness to learn
  • Excellent writing skills suited to an academic environment
  • The ability to function effectively as part of a small and highly collaborative team
  • Knowledge of and commitment to the values and mission of a top ranked research institution
  • A Bachelor’s degree or 3-5 years of work experience in a similar/comparable position

The person in this position interacts directly with many accomplished academics from Princeton and other universities and will be expected to consistently uphold the Program’s reputation of excellence.

Proficiency in Microsoft Office applications, including Word and Excel, is required. Applicant must have the flexibility to work select evenings and some weekends over the academic year (approximately 3-4 times per semester) with corresponding flexibility on other hours to be discussed.

PREFERRED QUALIFICATIONS
  • A Bachelor's degree or 3-5 years of work experience in similar/ comparable position
  • Experience with University systems and software including PeopleSoft, SAFE, Information Warehouse, and SharePoint.
  • Experience running fiscal reports in PRIME.
  • Experience with undergraduate/graduate programming at the university
  • Familiarity with University departments and resources (Dean's Offices, Provost's Office, Treasurer's Office, OIT, etc.).
  • Familiarity with Princeton's administrative procedures and policies.
