We are offering a long term contract employment opportunity for an Administrative Assistant based in Eagan, Minnesota. The role is in the industry and involves a variety of tasks that require strong attention to detail, excellent organizational skills, and a high level of proficiency in computer applications, particularly Microsoft Word, Excel, and PowerPoint.

Responsibilities:

  • Accurately process customer credit applications in a timely manner.
  • Ensure the maintenance of precise customer credit records.
  • Resolve customer inquiries professionally and efficiently.
  • Monitor customer accounts and take necessary actions as required.
  • Handle the preparation of invoices, reports, memos, letters, financial statements, and other documents.
  • Manage the filing and retrieval of corporate documents, records, and reports.
  • Distribute incoming correspondence, including faxes and emails, in an organized manner.
  • Prepare responses to correspondence containing routine inquiries.
  • Perform general office duties such as ordering supplies, maintaining records management systems, and basic bookkeeping work.
  • Uphold confidentiality and organize information effectively. • Proficient in Customer Service, able to handle customer inquiries and complaints with detail oriented and tact.
  • Effective Communication skills, both verbal and written, to interact with team members and stakeholders.
  • Familiarity with Office Functions, including filing, scheduling, and meeting coordination.
  • Mastery of Microsoft Excel for data entry, analysis, and report generation.
  • Strong Research capabilities to gather and analyze relevant data.
  • Proficiency in Microsoft Word for creating and editing documents.
  • Experience with About Time software for time tracking and project management.
  • Ability to handle Correspondence, including drafting letters and emails.
  • Responsible for Clerical Duties such as sorting mail, answering phones, and maintaining records.
  • Understanding of Financial Statements to support financial management and decision-making.
  • Proficiency in Microsoft PowerPoint for creating and delivering presentations.
  • Familiarity with Conductivity software for project management.
  • Regular interaction with C-Suite executives, requiring detail oriented conduct and discretion.
  • Strong Interpersonal Skills for fostering a positive work environment.
  • Ability to Distribute Faxes, ensuring important documents reach their intended recipients.
  • Exceptional Written Communication skills, essential for drafting reports, emails, and other documents.
  • Experience in Records Management, ensuring all company records are properly maintained and accessible.
  • Proficiency in various Computer Programs, including office software and email clients.
  • Basic Bookkeeping skills to assist with financial tracking and reporting.
  • Ability to Prepare Invoices and track payments.
  • Skill in preparing responses to inquiries or complaints, demonstrating problem-solving abilities.
  • Experience in Photocopying/Scanning documents, ensuring important documents are properly duplicated and filed.
