We are looking for an Administrative Assistant to be based in San Jose, California. This role offers a long term contract employment opportunity. As an Administrative Assistant, you will be responsible for a variety of tasks including processing and maintaining customer records, answering phone inquiries, scheduling appointments, and ensuring the smooth operation of the office.

Responsibilities:

  • Efficiently process customer credit applications and maintain accurate records.
  • Answer incoming calls and provide high-level customer service.
  • Manage complex calendars and assist in travel arrangements.
  • Coordinate logistics for meetings and conferences, both internally and externally.
  • Execute special projects from conception to completion.
  • Collaborate with other team members to ensure smooth operation.
  • Collect data and create analysis as per business needs.
  • Support new employees during the onboarding process.
  • Manage stock of office items as required.
  • Handle incoming and outgoing mail and other miscellaneous duties. • Proven experience in an administrative role
  • Proficient in MS Office Suite
  • Excellent skills in calendar management
  • Experience with travel arrangements and logistics
  • Ability to coordinate and manage meeting logistics
  • Familiarity with onboarding processes and procedures
  • Experience in coordinating meetings and events
  • Knowledge of general office administration procedures
  • Experience in veterans administration is a plus
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal skills
  • Detail-oriented and able to work with minimal supervision
  • High school diploma or equivalent; higher education or certifications a plus.
