The Administrative Assistant assists various teams and account managers with all administrative functions and work planning. Many of these duties are also performed for various associations within CCMSI.

Responsibilities:

  • Prepares client service agreements for executive approval using appropriate template.
  • Prepares contracts and addendum for executive approval using appropriate legal language using template and appropriate legal language.
  • Provide administrative assistance to various managers with special projects, correspondence, file preparation, risk reminders, newsletters, invoices, websites, and coordination, and all day-to-day activities as required.
  • Coordinate meetings; schedule rooms, arrange for supplies, appropriate meals and beverages, as well as coordinate meeting agendas and notices.
  • Coordinate all aspects for meeting packet development as required.
  • Coordination of all Purchase Requisition/Check Requests as required.
  • Types, proofreads, and responds to correspondence and mail when appropriate. Handle confidential correspondence and reports with professionalism.
  • Coordinate special projects with Administrative Team as required
  • Schedule car rentals and hotel reservations as needed and prepare appropriate paperwork.
  • Provide backup assistance for RFP coordination/development.
  • Serves as a resource on various committees for special projects as an administrative support as needed to assist in change management.
  • Performs other duties as assigned.

  • Excellent oral and written communication skills.
  • Individual must be a self-starter with strong organizational abilities.
  • Ability to coordinate and prioritize required.
  • Ability to operate general office equipment and perform clerical duties.
  • Flexibility, initiative, and the ability to work with a minimum of direct supervision a must. Discretion and confidentiality required.
  • Ability to work as a team member in a rapidly changing environment.
  • Reliable, predictable attendance within client service hours for the performance of this position.
  • Responsive to internal and external client needs.
  • Ability to clearly communicate verbally and/or in writing both internally and externally.

Education and/or Experience

Associates degree in Business or four year’s related business experience required.

Computer Skills

Advanced with Microsoft Office programs including Word, Excel, PowerPoint and Outlook
