As we continue to expand with the integration of new brands into our portfolio, we are seeking a dynamic and detail-oriented Event & Marketing Coordinator to support our growing marketing and event needs. Occasional travel is required to Irvine, CA office and some events.
Job Summary: The Event & Marketing Coordinator will play a critical role in managing event logistics, marketing operations, and administrative support across all brands under Connected Dealer Services, but with a focus on Vehicle Finance and BHPH customers.This role will be responsible for planning and executing trade shows, conferences, association events, and brand activations, while also supporting broader marketing initiatives.
This is an ideal position for someone who thrives in a fast-paced environment, is highly organized, and enjoys balancing event management with hands-on marketing tasks.
Work Location: This position requires occasional travel to the Irvine, CA office and select events. When not traveling, you will primarily work from your home office.
Key Responsibilities:
Event Coordination- Plan, coordinate, and execute all event logistics for trade shows, industry conferences, association events, small local event sponsorships, and internal events across all CDS brands.
- Manage event calendars, registration, bookings, and sponsorship opportunities.
- Oversee shipping and inventory management for event materials (booth displays, signage, promotional items, etc.).
- Work closely with the warehouse team to ensure accurate and timely event material shipments and post-event returns and develop processes to make this more efficient.
- Manage hotel bookings, travel arrangements, catering, and other event logistics.
- Maintain relationships with event vendors, suppliers, and venue coordinators.
- Prepare and distribute event-related materials, including event kits, badges, and promotional giveaways.
- Work closely with other marketing team members on event advertising and promotional needs.
- Coordinate post-event reporting, lead tracking, and feedback collection.
- Work with marketing team in creating and distributing marketing collateral for events, campaigns, and sales enablement.
- Assist with promotional items and logo wear sourcing, ordering, and inventory management for employees, dealers, and events.
- Collaborate with the graphic designer and marketing team to ensure event materials align with brand guidelines.
- Support Marketing Manager in coordinating with print vendors and promotional suppliers, ensuring timely production and delivery.
- Coordinate the production of sales materials, brochures, and event signage needed for events.
- Assist in updating and maintaining event-related content on company websites and social media platforms.
- Work with the Marketing Specialist to ensure accurate data capture from events and support post-event marketing campaigns.
- Support internal marketing processes, including the marketing inbox, Trello board management, and administrative marketing tasks as needed.
Qualifications Requirements:
- 2-4 years of experience in event coordination, marketing support, or a related field.
- Incredible organizational skills with the ability to manage multiple events and highly complex projects simultaneously in a fast-paced environment.
- Strong attention to detail and ability to juggle multiple deadlines with excellent time management skills.
- Problem-solving mindset and ability to work independently.
- Experience planning and executing trade shows, conferences, or association events.
- Excellent written and verbal communication skills.
- Proactive and collaborative approach to teamwork.
- Experience with inventory management and working with vendors or warehouses.
- Comfortable working in a remote team environment and coordinating with cross-functional teams.
Preferred Skills:
- Familiarity with marketing tools such as Canva or similar is a plus.
- Proficiency in project management tools (e.g., Trello) and basic office software (Google Sheets or Microsoft Office).
- Basic knowledge of Wordpress or similar CMS for event website edits.
- Comfortable preparing presentations on event planning options for key decision makers.
Physical Requirements:
- Must be able to sit for extended periods
- Repetitive motion is required for computer entry
- Capable of lifting, carrying, and transporting event materials, displays, and promotional items weighing up to 30 pounds.
- Must be able to stand, walk, bend, squat, and reach for extended periods during event setup, execution, and breakdown.
- Requires manual dexterity for handling event materials, assembling booths, and organizing marketing collateral.
- May involve travel to event locations, which can include prolonged standing and movement in busy trade shows or conference environments.
