We are offering a long-term contract employment opportunity for an Executive Assistant located in Gardner, Massachusetts, United States. The role is integral to our operations, necessitating a detail oriented who can manage calendars, support multiple executives, handle documents, and oversee expense reporting among other responsibilities.
Responsibilities:- Manage executive schedules, ensuring smooth and efficient calendar operations.
- Provide comprehensive support to multiple executives, facilitating seamless workflow.
- Oversee document handling tasks such as obtaining signatures and using DocuSign.
- Manage and coordinate FedEx shipments as necessary.
- Handle expense reporting, ensuring accurate and timely submission of reports.
- Oversee the management of spreadsheets, ensuring data accuracy and organization.
- Order supplies as required, ensuring optimal office operations.
- Manage meetings, including scheduling, setup, and coordination of necessary materials.
- Employ strong communication skills to effectively correspond with various internal and external stakeholders.
- Utilize skills in coordinating meetings and conference calls to ensure smooth communication within and outside the organization. • Minimum of 2 years of experience in an Executive Assistant role or similar position
- Proficiency in Calendar Management, ensuring all appointments and meetings are scheduled and updated
- Excellent Communication skills, both verbal and written, with the ability to interact professionally with all levels of staff and external contacts
- Experience in coordinating and facilitating Conference Calls, ensuring all necessary participants are present and informed
- Ability to handle Correspondence, managing both incoming and outgoing communications efficiently
- Familiarity with DocuSign or similar electronic signature platforms to expedite document signing processes
- Experience in coordinating Meetings, including scheduling, sending reminders, and preparing necessary materials
- Proficiency in Expense Reporting, ensuring all expenditures are accurately recorded and justified
- Ability to work independently and prioritize tasks in a fast-paced environment
- High level of discretion and confidentiality due to the sensitive nature of the role
- Proficiency in using Microsoft Office Suite including Word, Excel, and PowerPoint.
- Strong organizational and multitasking abilities
- Attention to detail and problem-solving skills.
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
