We are offering a contract to hire employment opportunity for an Administrative Assistant in the heart of West Chester Township, Ohio. As an Administrative Assistant, you will be the backbone of our office operations, from managing inquiries and correspondence to maintaining records and scheduling assistance.
Responsibilities:
- Manage incoming visitor inquiries and provide support to other staff members.
- Handle internal email correspondence efficiently.
- Ensure accurate and efficient filing of documents.
- Distribute incoming mail within the organization and oversee dispatch of outgoing mail.
- Draft business letters, reports, and office memos utilizing word processing programs.
- Utilize in-house computer software for various administrative tasks.
- Issue purchase orders and service work orders as required.
- Respond to telephone inquiries from customers and other branches.
- Provide backup support to the current office administrator and other team members.
- Operate a range of office equipment including photocopy machines, computers, and fax machines.
- Assist with scheduling tasks as needed.
- Be available for potential overtime work.
- Proficient in Accounts Payable (AP) operations, showing a clear understanding of the financial processing system
- Demonstrated experience in Billing, able to accurately issue invoices and track payments
- Strong background in Administrative Assistance, possessing the ability to manage multiple tasks and deadlines efficiently
- Excellent communication and interpersonal skills, both verbal and written, to liaise with various departments and clients
- Proficiency in using office software such as Microsoft Office Suite, particularly Excel and Word
- Strong organizational skills with an eye for detail, ensuring accurate record-keeping
- Ability to work independently and as part of a team, showing initiative and problem-solving skills when necessary
- High school diploma or equivalent education level, further qualifications in Business Administration will be advantageous
- Proven experience in a similar role, demonstrating the ability to handle administrative duties effectively
- Flexibility to adapt to changes in tasks and work schedules as required by the role.
