We are offering a long term contract employment opportunity. The role we are looking to fill is that of a Receptionist. As a Receptionist, your main duties will involve managing communications, providing excellent customer service, and maintaining meticulous records.

Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings for Director
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Support HR staff working on special projects
  • Proven experience in answering multi-line phone systems, demonstrating proficiency in handling multiple calls and queries simultaneously.
  • Excellent customer service skills, with the ability to interact cordially with students, staff, and visitors, ensuring their needs are met efficiently.
  • Proficiency in data entry, with the ability to accurately input and manage large amounts of information.
  • Experience in email correspondence, demonstrating the ability to effectively communicate and respond to inquiries via email.
  • Strong interpersonal skills, with the ability to build positive relationships with diverse individuals.
  • Proficiency in Microsoft Excel, demonstrating the ability to use spreadsheets, input data, and perform basic calculations.
  • Experience in using Microsoft Outlook, demonstrating the ability to manage emails, schedule appointments, and use the calendar function effectively.
  • Proficiency in Microsoft Word, demonstrating the ability to create documents, format text, and perform other word processing tasks.
  • Experience in organizing files, demonstrating the ability to maintain an efficient filing system and retrieve documents as needed.
  • Ability to schedule appointments, demonstrating the ability to manage a busy calendar and ensure timely meetings.
