Responsibilities:

The Human Resources Associate is responsible for a wide range of administrative HR and talent acquisition duties. This role is ideal for a detail-oriented individual who can efficiently manage tasks while maintaining a high level of accuracy and consistency.
In this role, the successful candidate will be responsible to maintain our HRIS (Workday), record keeping of the entire life cycle of employees, adhere to SOX requirements for compliance, perform routine data audits, and assist with routine talent acquisition administrative duties.

The successful individual must be able to work under minimal supervision and maintain confidentiality.

  • This is a hybrid role with 2-3 days per week on average in our Houston offices.
Essential Responsibilities
  • Maintain data integrity in the HRIS by updating, entering data, and performing periodic data audits.
  • Assist with final stages of HRIS implementation while also maintaining the legacy HRIS system during parallel testing phases.
  • Perform heavy administrative duties for all employee status changes until final implementation of the new HRIS which will automate routine business processes.
  • Assist with the creation of updated processes and procedures working alongside the broader HR team and as needed, with internal audit.
  • Maintain compliance with all HR related SOX requirements.
  • Conduct initial orientation to newly hired employees.
  • Work with Managers and HR Team to ensure that all status change forms are created, approved, and entered into the HR Information System.
  • Process weekly, monthly, and quarterly reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.)
  • Perform file audits to ensure that all required employee documentation is collected and maintained.
  • Complete termination paperwork along with all offboarding activities.
  • Compile reports and provide requested information using appropriate Excel / PowerPoint presentations as requested.
  • Responds to internal and external HR related inquiries or requests and provides assistance as necessary, with an understanding that more complex related matters should be escalated to the HR Generalist and/or HR Director.
  • Processes invoices as required for various HR service providers.
  • Ensures that all local, state, and federal postings are posted and updated as required by law.
  • Under guidance from the HR leaders, assist with updates to processes, policies, and the employee handbook as needed.
  • Use Power Automate for various process improvements throughout the HR department.
  • Supports the recruitment Talent Manager as needed to include:
  • Creating requisitions for open positions; generating weekly reports for management.
  • Interview scheduling
  • Processing and monitoring of all paperwork for new hires (background checks, reference checks, offer letters, etc.)
  • Serving as the main contact person for all new hires to coordinate their hire date, onboarding, and notifications to managers.

Qualifications:

Knowledge, Skills, and Abilities
  • Ability to maintain strict confidentiality requirements and appropriately handle or escalate HR related inquiries to the appropriate personnel; understands basic HR concepts, terminology and general policies and procedures.
  • Strong communication skills. Ability to communicate clearly, both written and verbally with varying levels of employees.
  • Ability to respond timely and professionally to both internal employees and external partners; researching matters as needed until full resolution is reached.
  • Willingly participates and promotes a culture of open communications, collaboration and acceptance of personal responsibility and accountability.
  • Demonstrate the ability to be a self-starter, motivated and able to function successfully alone or in collaboration with others; possesses the ability to draw on both creative and practical problem-solving skills; naturally responds well to change.
  • Must be adept at problem-solving, including being able to identify issues and resolve problems in a timely manner.
  • Must be willing to complete a wide range of tasks in a fast-paced environment.
  • A combination of solid Intermediate user level technology skills relative to Word, Excel, PowerPoint, Power Automate, Outlook and HRIS with applicant tracking and workflows (Ideally Workday or similar).
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
Qualifications
  • 2+ years of experience as an administrator in a fast-paced, corporate environment
  • Workday experience highly preferred
  • Experience with Power BI and Power Automate highly preferred
  • Strong systems knowledge and experience with technology including Microsoft Office Suite
  • Basic knowledge and understanding of HR functions, related laws, and regulations
