Responsibilities- Act as the primary contact for all tenant-related inquiries, addressing them in a detail oriented and efficient manner.
- Maintain up-to-date records of vendor services, including maintenance, janitorial, and landscaping, and follow up on invoices and service confirmations.
- Manage and streamline office operations, including stock levels of office supplies and office organization.
- Collaborate with team members to improve operational efficiency and provide administrative support for special projects.
- Assist tenants with various requests related to building operations and services, and ensure timely resolution of maintenance requests.
- Coordinate and communicate tenant requests and maintenance issues with the relevant team members.
- Help in the process of requesting and tracking vendor services, including obtaining quotes, scheduling appointments, and confirming completion of work.
- Assist with scheduling tenant meetings or events, ensuring all logistics are handled smoothly.
- Prepare and distribute communications and memos to tenants and team members as directed.
- Maintain and update property files and records in the company’s management system. • Proven experience in Administrative Assistance
- Proficient in answering Multi-Line Phone System
- Familiarity with Concierge Services
- Excellent Customer Service skills
- Experience with Data Entry tasks
- Strong Interpersonal Skills
- Proficiency in Microsoft Excel
- Ability to use Microsoft Outlook efficiently
- Good command over Microsoft Word
- Capable of organizing files systematically and efficiently
