Reports To: Director of Doctor Recruiting
Description:
The Residency Program Coordinator will primarily support the Director of Doctor Recruiting on recruitment of orthodontic residents, helping build strong relationships with residency programs across the country, and assisting in the recruitment process.This role will also involve administrative support for general recruiting doctor functions as needed.

Responsibilities:
- Residency Program Outreach:
- Establish and maintain relationships with orthodontic residency programs and their coordinators.
- Attend recruiting fairs, residency open houses, and networking events to promote brand and job opportunities for new graduates.
- Coordinate and schedule virtual or in-person presentations such as lunch/dinner and learn with residency programs.
- Track and maintain a database of potential candidates from residency programs, ensuring follow-up and engagement.
- Candidate Sourcing & Screening:
- Assist in identifying and sourcing qualified candidates from residency programs.
- Conduct initial candidate screenings and manage the interview scheduling process with Director.
- Collaborate with the Director to develop strategies for engaging residents and recent graduates.
- Recruitment Marketing:
- Work with the marketing team or Director to develop targeted outreach materials and presentations for residency programs.
- Help manage recruiting platforms/social media to conduct email campaigns for residency outreach.
- Coordination of Recruitment Events:
- Assist with the planning and execution of recruitment events aimed at residents, including interviews, webinars, and informational sessions.
- Organize logistics and materials for career/vendors fairs and on-campus recruitment activities as it pertains to residents or alumni.
- Present recruiting presentation to residency candidates with enthusiasm, persuasion, and accuracy.
- Administrative Support:
- Maintain accurate records of candidate interactions and recruitment progress using the Applicant Tracking System (ICIMS experience preferred)
- Assist with the job positing management and ensuring positions are advertised on relevant platforms.
- Provide support with the ad hoc recruiting tasks as needed, including scheduling interviews for Director and tracking candidate feedback.
- Reporting & Analytics:
- Assist in tracking recruitment metrics related to residency programs and provide weekly updates to the Director.
- Prepare reports on residency program engagement, candidate pipeline, and recruitment outcomes as needed.
Additional Job Skills (as needed):
- Support the broader recruiting team with candidate sourcing and administrative duties across other recruiting areas.
- Help coordinate the onboarding process for newly hired candidates, enduring a smooth transition from residency to practice.
- Participate in team meetings and contribute to recruitment strategy discussions.
Qualifications:
- Bachelor’s degree in Human Resources, Business, or related field.
- 2+ years of experience with doctor recruiting interactions.
- Familiarity with orthodontic or medical residency programs a plus.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office and experience with ATS (ICIMS preferrable).
- Open, Flexible, and Positive.
- Full-time position, with flexibility to attend events and meetings in person and virtually and required travel for recruiting purposes.
- Nashville, TN based with a willingness to travel 40-50%
